Welcome

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors and guests to the Belle Isle Library and X-Change meeting.

Culture Survey Group Reports

Three groups were created at the last X-Change meeting to investigate the three weaknesses in the system: 1) Increasing appreciation of staff 2) Improving communication and 3) Being more receptive to change. The groups were charged with gaining involvement from the entire system to investigate each weakness and further identify possible root causes and action items. Kay asked the groups to summarize their findings and tell how they got input from the system at large.

Kay Bauman called the meeting to order at 2:05 pm. Kay welcomed the supervisors to the Midwest City Library and X-Change meeting.

Culture Survey
The focus of this X-Change meeting was to disseminate information from staff meetings that were held per the letter sent to the supervisors by Donna on March 30, 2009 (see minutes). These staff meetings were charged with discussing the results of the culture survey debriefing session held on March 30, 2009 and forming responses to the questions posed in Donna’s letter. Supervisors were split up into the following groups that were determined by the divisional cuts of the culture survey results:

Culture Survey Debriefing

Cathy McCullough presented the Metropolitan Library System’s culture survey results. Everyone split up into groups and was asked to discuss and make notes on the following questions:

What commonalities do you see among the strengths?
What commonalities do you see among the weaknesses?
What are some ways in which these strengths and weaknesses impact the functioning of the library system?

X-Change Minutes - November 17, 2008

Welcome Kay Bauman called the meeting to order at 2:05 pm. Kay welcomed the supervisors to the Downtown Library and X-Change meeting. Kay introduced the extension specialists and new supervisors. Donna was introduced Salary Survey and Staff Association Response Donna passed out the executive summary of the 2008 compensation study and summary of findings and discussed the compensation study tables (attached). She addressed the need for review and revisions to the job descriptions. Donna also addressed the staff association response. Discussion followed and Donna introduced Ric Rea.

Welcome
Stacy Schrank called the meeting to order at 2:00 pm. Stacy welcomed the supervisors to the Belle Isle Library and X-Change meeting. Donna was introduced and made quick remarks on behalf of the library system.

Organizational Leadership and Culture
Stacy Schrank introduced the guest speaker Cathy McCullough, formerly of Francis Tuttle. Ms. McCullough gave a presentation over the importance of organizational leadership and its effect on an organization’s culture. The session is a preamble to the culture survey that was included in the 2008/09 budget and will take place late 2008 or early 2009. Following the presentation a question and answer session took place.

Welcome
Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Edmond Library and X-Change meeting. Special guests were introduced.

Service Principles
Kay Bauman, Denyvetta Davis, Candace McDaniel, and Kim Terry gave a presentation over the new Service Principles initiative. Kay introduced this new initiative to help create a system-approach to service and help accomplish the goals of the new strategic plan. Candace McDaniel stated these principles followed her from her previous employer and are customized towards the needs of the Metropolitan Library System. Kim introduced the supporting materials and stated supervisors would need to order their supplies through Marketing. After the introduction, four groups were created to go over a simulation.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Downtown Library and XChange meeting.

Supervisor’s Responsibilities Regarding Sexual Harassment
Stacy Schrank introduced the guest speaker Attorney Adam Childers, Crowe & Dunlevy. Mr. Childers gave a presentation over the Supervisor’s Responsibilities Regarding Sexual Harassment. Following the presentation a question and answer session took place.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Belle Isle Library and XChange meeting.

Strategic Plan and Vision
Kay Bauman assigned groups a section of the new strategic plan. From that section, the groups were asked to discuss current activities that take place currently within the library system and asked to rank their effectiveness. Then the group was asked to think of new ideas to help meet these goals and discuss some “sacred cows”. The results from this exercise will be available on the Strategic Plan page of the intranet for future use.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Midwest City Library and X-Change meeting.

Leadership Training
Stacy Schrank, Employee Development Coordinator, introduced Dana Bickford, contract leadership facilitator for Metro University. Dana gave a brief introduction to the upcoming management and leadership courses that will be offered through Metro University. Topics included: Managing Emotions: Recognizing Key Moments, Resolving Conflict, Creating Work/Life Balance, and Dealing with Difficult Customers. The group engaged in discussion.
