X-Change Meeting Minutes for August 15, 2011

Welcome

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Ralph Ellison Library and X-Change meeting.

Culture Survey Update

Kim Terry reviewed the charge of the three culture survey committees and the formation of the ad-hoc committees formed afterwards. She went over the progress that the committees have achieved with the supervisors. See Attachment A for notes from the Ad Hoc Culture Committees.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors and guests to the Belle Isle Library and X-Change meeting.

Culture Survey Group Reports

Three groups were created at the last X-Change meeting to investigate the three weaknesses in the system: 1) Increasing appreciation of staff 2) Improving communication and 3) Being more receptive to change. The groups were charged with gaining involvement from the entire system to investigate each weakness and further identify possible root causes and action items. Kay asked the groups to summarize their findings and tell how they got input from the system at large.

Kay Bauman called the meeting to order at 2:05 pm. Kay welcomed the supervisors to the Midwest City Library and X-Change meeting.

Culture Survey
The focus of this X-Change meeting was to disseminate information from staff meetings that were held per the letter sent to the supervisors by Donna on March 30, 2009 (see minutes). These staff meetings were charged with discussing the results of the culture survey debriefing session held on March 30, 2009 and forming responses to the questions posed in Donna’s letter. Supervisors were split up into the following groups that were determined by the divisional cuts of the culture survey results:

Culture Survey Debriefing

Cathy McCullough presented the Metropolitan Library System’s culture survey results. Everyone split up into groups and was asked to discuss and make notes on the following questions:

What commonalities do you see among the strengths?
What commonalities do you see among the weaknesses?
What are some ways in which these strengths and weaknesses impact the functioning of the library system?
