Access Services Minutes - November 16, 2021

Welcome: Tricia called the meeting to order and let everyone know that FYIs would be sent as an email instead of discussed as agenda topics. Attendees shared wins from their locations in the chat. 

Handling Staff Errors Workgroup (Nicole): Nicole shared the documents the workgroup created to help staff determine customer eligibility for a library card. There are websites to help check if an address is in our service area, scripts for when we make a mistake with an account type, a flowchart to determine eligibility, and quick facts for issuing cards to non-Oklahoma County residents. 

Tote Check In with New Sorter (Brandon): Edmond has been testing the process of checking in a whole delivery tote instead of scanning the individual items, which is a feature of the new SC sorter. Brandon discussed the steps of the process and issues they have experienced. Risa provided an overview of the new Tote Check In software. After the test period has concluded, all libraries will begin using Tote Check In.  

TLC and CARL (Tricia): Risa gave examples of CARL maintenance and upgrade tickets that have been requested and their current status. Tricia went through some of the upcoming releases to CARL.Connect to bridge the gap in functionality between CARL.Connect and CARL.X, and a wishlist of CARL features compiled by CARL users. Managers discussed what would be needed for libraries to make the move to using CARL.Connect instead of CARL.X. It was discussed staff would need training and hands-on experience to relearn CARL.Connect. Access Managers will start using CARL.Connect to become familiar with the software. 

System Updates (Risa): Larry recently visited the Tulsa City-County Library System, and in December senior management from Tulsa will visit MLS. All customer computers have had their time limits removed. The recommendation to have Notary Services at MLS is now being discussed between Larry and the MLS legal team. The plan is to have this service available before the end of the fiscal year.
