Ad-Team Meeting Minutes for April 2004

Core Competencies Presentation. Helen began the presentation regarding a discussion of competencies and tools to build success. The discussion was broke down into an overview, tools, timeline, questions and answers. Helen handed out copies of information on the Customer Service Skills Assessment Program (CSSAP) and the Success Skills 2000 Program. She explained the handout. Kay handed out copies of the MLS Competency Model. The library plans to purchase the CSSAP in July 2004 and plans to begin implementing the program by September 2004. The library system will then evaluate the program in January 2005. The CSSAP program is geared more towards entry level positions while the SS2K program is geared towards entry-level managers or supervisors. The goal for the CSSAP and SS2K program is to test finalist for full-time positions and use the scores as another tool in the hiring process. It is not intended to use the tests as an elimination process. Another application offered is a Career Prescription program called CAREERx. CAREERx is an innovative software application that provides each employee with a clear plan for skills and career development and provides the library system with the tools to control turnover and improve employee performance. This application will be used as a training gauge. Current employees will be tested to access their strengths and weaknesses and then establish pre-set training classes to improve in the areas needed.

LaVetta passed out information about the new teacher orientation luncheon August 5-6 and library card policies for schools that they use at Village. Please let her know if the policies are different at other libraries and if that information needs to be included in the policies. She discussed a flyer on the licensee database, and a power point presentation that will be presented by Scott Carter, Julie Mock, Susan Ryan, and herself. She discussed the general services such as tours and gave a demonstration of the CyberMARS. Robin will talk about free Internet access. Judy Moss and Susan will talk about elementary teaches in the morning and secondary teachers in the afternoon at Belle Isle. Scott stated that Public Relations would help with marketing bags and resources for other libraries planning teacher orientations. Be sure to inform PR of the date and time.

Rosemary passed out pictures of the Choctaw library groundbreaking ceremony and said it was wonderful. The grand opening is expected in August 2003.

Deborah Willis shared her procedure for staff self-appraisals. Her staff is doing self-appraisals at 2 month, 4 month, and yearly intervals. The annual appraisal asked employees to explain why they believe they deserve a 4. Peer appraisals are also done at this time. She passed out a sample appraisal. Please contact her for email copies.

Also, Deborah shared that she has created a new employee notebook. She used the MLS New Employee checklist as a basic foundation. She takes the goals and the objectives from each of the basic workshops and includes this information in the new employee package.

Anne introduced Dennis Wisdom from C H R Solutions, the telephone consultant for the new telephone system. He will visit each library inquiring about telephone features desired.

Jim demonstrated and discussed how the email notification worked. He stated that the receipts that the customer receives for materials checkout will not show their card number; however, a receipt with the card number displayed can be obtained if the customer request it.

Judy stated some customers may be unhappy with the changes, but it is a security issue for others. This program will be implemented May 1st. for staff.

Jim said that 15 – 16% of materials reserved are not picked up. Also, Jim states that the next paycheck the staff receives will not have a social security number displayed. (See April Tech group minutes for additional information.)
