Welcome: Tricia called the meeting to order.

Learn: Service Center Department Tour: Divided up into groups rotating between six departments:

  • Sorter - How items are processed.
  • Friends - Procedures, organizing, pricing of items.  
  • Maintenance - System operations  
  • Outreach - Collections, Kiosk/Onsite, Promotional items, Books by Mail    
  • Cataloging/ILL- Re-cataloging materials, editing items. ILL features.
  • Receiving - Invoices, Data entry, quality control, Big Bin-storage.     

Discuss:

  • Delivery Study (Meghan Attalla, MC)
    • The next Delivery study will take place from May 6-17th
    • Tracking for two types of data: Time and Problem
    • While performing the tracking staff should check for problem items as normal and no need to inspect items more carefully than usual for problems. 
    • All Data should be logged by Wednesday, May 22nd
  • In Transit/Tracer Study Feedback (Tricia Andrews, GSA)
    • Staff were asked to track tracer and in transit data between February 28-March 6 and again March 13-20th.
    • Being able to handle In transit holds 7 days in that status instead of 10 will have an overall positive impact on our guests and holds ratio.
    • Proposed that it does not seem as though staff time should be spent completing the tracer list with the minimal success rate. The group agreed to this change. By running inventory twice per year, materials will be found if they are on shelf. We will no longer run the tracer report daily since inventory is being run twice per year. The CARL Manual is being updated to reflect this change.      
  • Almonte Updates (Tricia Andrews, GSA)
    • Used the Service Center sorter Saturday 4/13 to fill holds on material as well as sort material so it's easier to put on shelves.
    • Discovered some issues after started where all AL items went to in transit and a few holds might be in transit hold to your branch but are boxed. Also affected the TCS, but branches can ignore. These will be corrected at the end of the week, but if a guests asks before it's corrected, you are aware.

System Updates (Mark Schuster, GSA)

  • Almonte: Grand Opening May 15th
  • Strategic Planning survey: Please complete and encourage your guests to complete. 
  • Reviewing applicants for CCO (Chief Community Officer)
  • Regional realignment: Will occur when the 4th RD position is hired.
  • Commission P&P: Multiple updates approved by Public Services committee regarding borrowing, public spaces, rules of conduct, etc. Check Board Docs for full information. Policy updates to take place effective July 1. Will be lots of communication to come about changes
