Access Services Minutes - June 21, 2022

Welcome:  Tricia called the meeting to order and asked attendees to share a summer reading win from their locations in chat.

Shelving Training (Tricia Andrews, PSA): We have changes coming to the Shelving Training courses that will launch June 27. We’ve received feedback the training is long, repetitive, and intense for both new and existing staff. As we continue to onboard new staff, we want to focus on retention and reducing the amount of training. We are also taking this opportunity to move toward removing the divisions of access and engagement. Here are the highlights of the changes:

  • Make required for all in-library staff
    • For existing staff that have not completed the previous shelving training, they will be assigned Shelving Training at the end of June and must complete by the end of the PD appraisal period, October 31.
  • Condense and rename trainings from 3 to 2
    • Shelving 101 will stay as is; renamed to Shelving Orientation
    • Basics and Advanced are merged into one; renamed to Shelving Training
  • Removal of Sections in Rise Presentations
  • Reducing knowledge check questions in EduBrite.
  • Added considerations for Adult volunteers to help with shelving.
  • Replace Transfer/ Promotions Test Out Shelving Training with Collection Scavenger Hunt

Guest Experiences (Larry White, ADM): Larry provided an update on building projects coming the next three years. MLS is seeing more guests coming through the libraries. Summer reading participants already exceeding last year’s numbers going into Week 4. Juneteenth programs have seen large attendance. Notary services are running well with positive feedback. Larry is making Location visits at all libraries to talk with Managers and attend staff meetings. Class & Comp study recommends a 3.3% rate increase and changes in pay scales.

Delivery Study (Meghan Attalla, MC): Meghan went over delivery study tracking results from May 2-13. Overall, the study found that the sorter tote check in decreased time for processing the mail. Problem items and damaged items have been reduced through the delivery. However, there was an increase noticed in items on hold without labels. No pest card items were reported.  Meghan shared recommendations for future delivery studies. It was decided to do the delivery study yearly in April.

Periodical Inventory (Tricia Andrews, PSA): Tricia shared Weeding 9.7 removed periodical inventory. Tricia can run a more detailed inventory for libraries that includes call number/issue information. Tricia will run yearly in late April to help libraries do weeding, if wanted, in preparation to review their annual subscriptions. Any library wanting an inventory sooner should email Tricia.

System Updates (Risa Jensen-Jones, PSA): Risa shared the Commission voted to make fine free permanent. We reviewed the pilot project data in Board Docs. Items of note include:

  • Auto renewal makes a difference in keeping items current.  
  • Outreach is working on updating their inventory
  • Checked out items are not being kept long term
