Access Services Minutes - May 17, 2022
Summer Reading (Emily Williams, OES): Emily Williams gave several highlights and reminders for the upcoming Summer Reading Program. Access Managers are expected to be local experts but can feel free to reach out to OES for assistance. A lot of great information is available via the Summer Reading page on the intranet.
Debrief on Delivery Study (Meghan, MC): Meghan led a discussion on how the Delivery Study went this month. Overall, attendees shared that tote check-in made the process much easier and that there were significantly less problem items. We may possibly shorten the length of time on the study next time. Attendees mentioned that the number of items sent without hold labels seems to be increasing and discussed how different branches solve this problem. Larger branches may have a harder time finding these items particularly if they are also owned by their branch. Attendees also expressed the belief that tote check-in does not save staff time but does save staff effort. Meghan reminded everyone to upload their data as soon as possible so that it can be evaluated.
Data Gathering (Brittany, RE): Brittany led a discussion on data gathering and asked attendees to share any current instances where they were gathering data for their teams, any data that they wished they had access to, or any questions they had about current data sources. Some branches are hoping for more up-to-date data to help them with making changes for Guest Experiences (GX) such as door counts, computer usage, checkouts, library card registrations and more. One attendee pointed out that when looking at circulation data, number of returns instead of checkouts may be a better benchmark when determining staffing and workflow. Risa mentioned that IT handles stats for library visits, door counts, etc., and until a new data analyst is hired, we can reach out to them with limited requests to see current statistics. CARL.X Report 17 and the Weeding Macro were mentioned as good sources of data and Tricia shared that she moved the Weeding Script and other templates and macros that can be used to find data to the Library Management Team SharePoint. Tableau has annual data for FY 16-22 that can be used as well and MyPC has reports on computer usage that some have found helpful. It was decided that any local spreadsheets and data methods currently used could be shared in the AM SharePoint>Location Sharing and that once a data analyst was hired, we could possibly do another training for AM’s on data sources and gathering.
Access Workshop (Tricia Andrews): Tricia gave an update on the combined access manual and mentioned that this lays groundwork for potential changes to the workshops to make them more effective under Guest Experiences and for incoming staff. She asked that attendees be thinking of changes that can be made. There will be a future call to all managers for a workgroup to revamp the workshops in the next few weeks. If you have ideas, send them to Tricia or sign up for workgroup.
System Updates (Risa Jensen-Jones):

IT is working on new software client for RFID pads, testing it soon to see if it fixes issues, and then it will be rolled out to locations for further testing.

WR is re-opening on the 24th after being closed for three months for renovations. The changes are looking great.

Guest Experiences is pausing temporarily due to reorganization of admin structure with open Chief Guest Officer position.
Wrap up: Next meeting will most likely be on Zoom, Larry is tentatively scheduled to talk about GX. Talk with your teams and come prepared with questions on the GX initiative and process.
