Access Services Minutes - January 19, 2021
Welcome: Tricia called the meeting to order. Special welcome to Megan Autaubo who started in November at Warr Acres as AM2. She reviewed the ground rules, Zoom meeting expectations, and introduced the guests.
Communication Checklist (Tricia): Communication checklist will be discussed at the end of the meeting.
September Meeting Summary (Meghan): The group reviewed the agenda topics and action items from the September 15 AM Meeting.
Managers of Access 12/16/20 email (Tricia): The group reviewed the email Tricia sent out 12/26/20.
Cataloging Consideration Requests Form Process/Guidelines (Kirsten and Devin, CSD): Kirsten and Devon from CSD discussed the Requests for Correction, Addition, or Assistance document. See document in the AM meeting folder.
Missing Pieces (Greg and Miranda, CSD): Miranda from CSD came to discuss how the missing pieces process is going. A PowerPoint was shared to discuss Greg’s process. The group was in agreement sending missing pieces to Greg immediately after contacting the customer is working.
eResources Mini Series (Janeal, CSD): Janeal encouraged staff to watch the series on EduBrite. Short lessons, less than 30 minutes that count toward professional development. Drum up some sign ups.
Virtual Workshop Expectations (Tricia): Review the Virtual Expectations document in the meeting folder. One person per devices. Must have audio and video. Sign in early to ensure technology is ready to go at start.
Access Training Timeline (Tricia): As a reminder, for the Access Workshop Series, Access Specialists should be enrolled by 2nd month and complete for the 6th month, Library Aides should be enrolled by month 4 and completed by month 6 after they have completed their shelf training, and Library Managers and Access Managers must complete by 6th month.

Coming TLC Upgrade (Tricia / Risa): Tricia and Risa shared exciting TLC upgrades that are coming Spring 2021.
Charge / Discharge Notes (Tricia): Based on feedback from the MS Form and the Pests in the Library Workgroup, we are moving forward to use charge/discharge notes. We will discontinue use of the @xxPest cards. The group is proposing to IT to allow the following groups to have the permission to add and remove the charge/discharge notes: Library Managers, Engagement Managers, Access Managers, Access Specialists, and experienced Library Aides. The timeline on this is TBD.
Defining 5+5 in shelving (Tricia): The group discussed how to define the 5+5 when checking shelving slips. It was decided items will only be counted as incorrect if the five before and five after the item is incorrect, however, Shelving Coaches may choose to look beyond the 5+5.
Routing Damaged Items Issue (Breakout Room, 20 minutes): Small group discussions were held to see which libraries have noticed an increase of damage items being circulated. It was also discussed why this may be occurring as well as prevention.
Performance Development Changes re: Documentation (Meghan): Skipped due to a lack of time.
MeeScan Updates (Tricia): If customers have issues with not being able to set up MeeScan at home, they need to update the app. Customers may have auto-update turned on to prevent this. If they do not, they need to go into the App store to update.
Shelving Training Q&A (Tricia): Starting February 1st Learning and Development will enroll staff into courses. Library Managers are to fill out the survey by 6pm Sunday, January 26.
System Updates (Risa, 10 minutes): Cancelling children’s fines should be complete. Only cancel manual children’s fines under $3.00. Additionally, anytime children’s titles are changed from their location code to BKR then checked it, staff need to go back to see if a fine was applied. If so, staff need to cancel the fine. MLS submitted top five development tickets to TLC. Finalizing the top 10 development request will be submitted. Some requests are for the customers side and some are for the staff side.
