Welcome: Tricia welcomed everyone in attendance and attendees introduced themselves

Expectations, Role of Circ Forum: Circ Forum was created to connect frontline staff to address concerns and to build relationships throughout the system. Circ Forum Representatives are expected to share key takeaways from meetings and MS Teams conversations and share the information with their library. Circ Forum Representatives should also seek input from staff at their location when calls for topics are made. After the minutes are posted on the Intranet, Tricia will send MS Forms asking for feedback on Circ Forum and to gauge feedback if representatives were asking if they had topics as well as sharing feedback post meetings. Circ forum will meet quarterly.

Submitted Topics

  • System Cards: System cards such as Pest, System Trace, and Withdraw need to be taken care of at the library location the item was returned to. Do not send it to the other library. If an item is on a Pest card check for pests and if pest-free activate the next hold, if not follow pest policy. If an item is on a withdraw card; withdraw the item. If an item is on a Trace card, cancel the trace. System cards have @ on the hold sticker. Also, make sure when placing hold sticker that you fold a corner and verify the label is going on the correct item.
  • Hotspots: Hotspots need to be sent in interoffice envelopes and not in the trolleys. The system has experienced hotspots mismatched into the wrong case. IT is developing a system to combat the issue and information will be coming soon. A quick tip to look for hotspots in the catalog search “hotspot” or “wifi hotspot”.
  • Meeting Room: Meeting rooms are $10/hr. Except for two rooms DN. If a room divides and they want both rooms it is $20/hr. Guests set up their own rooms, make sure there is the correct number of tables and chairs. Anybody can attend the event. If a room reservation is pending, we need to take payment before we allow them in the room.

CARL Tips

  • Tags: Tags can be added by any guest in the catalog. When a tag is entered in the catalog the automated process only checks that the tag is not inappropriate. If a tag is incorrect (a tag “monkey” under a book about dogs), you can email IT Helpdesk ([email protected]), but it might not be corrected because if we delete the tag, it deletes them all (all “monkey” tags will be deleted). Additionally, tags are in the order as to when they were entered with the latest date showing first
  • Duplicate Accounts and ONEcard: ONEcards get updated four times a year. If you update any information on a ONEcard the update overrides it. If the updated info is incorrect, they need to contact the school to correct it. ONEcards can also have a primary card. We do not merge these accounts.

Discussion

  • Determining customer eligibility (Carmen): There was a Library Card Eligibility workgroup that made a Determining Library Card Eligibility Flow chart and came up with websites that can be used to verify addresses, to make sure we are giving guests the correct library card.

RD System Updates (Mark)

  • WR closed 2/20/22 for renovation and plans to open late May.
  • BI grand opening 4/8/22.
  • In the last 10 years there have been 12 new or renovated libraries.
  • DN and CH have a new library signage on the side of the building.
  • Safe Place training will be in March and starting in April. Send questions and feedback to the Safe Place Committee at [email protected].
  • Core Values Steering Committee sent out a survey about the definitions of our core values. Please fill out the survey they want to hear your feedback.
  • The budget process is coming up. If you have any suggestions for software or furniture, please contact your library manager.
