Adult Services Minutes for September 2013

Date: Wednesday, September 25, 2013
Location: Crystal Bridge, Myriad Botanical Gardens - 2nd Floor Conference Room
Attendees: Anita Roesler, Outreach, Kristin Williamson, Outreach; Lindsey Egle, Del City; Alexis Whitney, Almonte; Mary Ann Johnson, Edmond; Katie Hatfield, Midwest City; Julianna Link, Village; Tracy Stone, Northwest; Darrie Breathwit, Southern Oaks; Emily Williams, Outreach; Dana Morrow, Outreach; Ann Meeks, Belle Isle; Joey Shelton, Ralph Ellison; Angela Thornton, Downtown.
Anita opened the meeting with introductions of new librarians. Dana spoke about the upcoming Cimarron Opera tour in October and Melody of China tour in November. Dana passed around program survey’s from the 2012, 2013 programs. She pointed out that in most cases the 24 x 36 poster is the main bearer of upcoming programs. Dana asks that the posters coming from Outreach be placed in a prominent position 2 weeks before each tour. The INFO magazine usually comes in second. Other important ways of communicating upcoming programs come from word-of-mouth - family member to family member to friend to friend.
Kim Terry made suggestions on how to assist Marketing with the Info Magazine. She ask that entries be no longer than 2 to 3 sentences if possible. If you add an entry after the final due date, be sure and email Kim so she can post the entry. If you have a cosponsor, use the name only once, either in the description or under the cosponsor line.
Anita handed out Volunteer Presenter update. Procedures were handed out. Every presenter that doesn’t get paid must fill out a volunteer form online. There is a paper form for those with no internet access. The reason for this procedure is to ensure that everyone is recognized for their contribution and to ensure a background check has been completed.
There was a lengthy discussion that followed about how to assess the quality of the volunteer presentation. It was suggest that the library staff member arranging the program should take the time to attend and evaluate the quality of the program. You should feel empowered to give suggestions to the volunteer to improve their presentation. Make sure you have been clear about your expectations. If that doesn’t work, then don’t feel obligated to continue using the volunteer that is not meeting your standards. We will continue this discussion at the next meeting.
Winter Readfest changes were discussed. The pros and cons of the coming incorporation of it into the Summer at the Library program were talked about.
Break with a quick free look around the Myriad Gardens.
