System Library Account Naming
As a follow up to standardizing the use of the Location Codes and Statuses within CARL.X, we discovered that it was not always clear which library account to use for sending materials between libraries that cannot have holds placed on them. In order to make it clearer what each library's system card is for, the Access Managers have proposed a naming convention for system library accounts.
Libraries will not be required to have all of these accounts, but if they do, they are asked to use these naming conventions so it is clear what each account is for. Accounts with asterisks* are the only required accounts. Under Last Name, the fourth letter of the hold pickup code is listed first and then the word that it refers to. The last name can be entered in CARL.X as either @BEA or @BEAdult, for example, as long as the account is reserved for Adult Programming purposes. The '@' symbol indicates that it is used for internal purposes and does not go to the public hold shelf.
Library account naming conventions
- First name = spelled out library name
- Middle name = Library
- Last name = @XX_
- A - Adult programming
- Y - Youth programming
- X - XAccess - send Board Books with this card
- W - Withdraw *
- D - Display (for materials owned by other libraries)
- P - Pest *
- M - [main account]
- T - Trace*
- Xfr - Transfer*
There are two accounts that have 'X' as the 4th character. The group indicated that both of these accounts would go to Access staff to process, so having two did not complicate matters. Please share your thoughts on the overall proposal. If there are no identified problems or revisions, this naming convention will go into effect at the beginning of January.

Thank you for the withdraw card at all locations! I spend time in Collection Development placing holds on our department card to have materials that need to be withdrawn sent to me when I see problems with multiple catalog records. This will definitely streamline the process!
