Library Managers Meeting - September 28, 2017

Purpose: To discuss and make recommendations and decisions on issues having system wide impact on library operations.
System Update and Q&A – Kay Bauman
Kay met with library staff at some locations to update them on system matters and to listen to staff feedback. Her goal is to meet with every library and department prior to Staff Development Day (Oct 9).
FY18 Budget Update – Kay Bauman
The budget for FY 2018 is almost ready to present to the Finance Committee on October 4th. This year’s budget will focus on aligning resources to meet the System’s overall mission.
Job Descriptions Review and Update – Julie Ballou
Managers have been working in groups to review the various job descriptions and recommend training needs for each position. A meeting is scheduled with the three committee chairs on September 29th to discuss the results of each group’s work to date.
New Room Reservation Process – Melody Kellogg and Sarah Brown
Contracts are no longer being used for booking meeting rooms. Customers need to complete payment 5 days prior to the reservation date if the room is booked in advance. The 3-month window for booking rooms still applies and is clarified to mean that users may book rooms for the current month and the following two months (not 90 days). For example, a customer contacting the library on September 1 may reserve a room for any date in September, October, and November. The same is true if a customer contacts the library on September 20; they may reserve a room for any date in September, October, and November.
Language Discussion
Discussion was held regarding the terminology currently being used by the System. Some examples are interreach and triage. If our terminology is confusing or does not accurately describe what we want it to describe, we may consider changing it.
Action: Library Managers will listen as staff share their opinions and concerns and be prepared to discuss at the next Managers Meeting.
Next Library Managers Meeting is scheduled for October 12 at Warr Acres Library.
