Library Managers Minutes - August 24, 2017

Purpose:  To discuss and make recommendations and decisions on issues having system wide impact on library operations.

Outcomes 

To review library budget plans, take steps to improve workflow processes, hear initial feedback from the A&E position workgroups, and tour Capitol Hill under construction.  To share information relevant to library managers. 

  • Introductions: Milissa Copeland, Learning & Development Manager, Learning & Development, Organizational Development
  • Milissa provided a breakdown for Tuesday, 8/29’s M.E.T.R.O. Way Train the Trainer event. She will be sending out the schedule for M.E.T.R.O. Way training sessions after the trainers have completed their own training. Managers will be able to request relief staff from other locations to provide coverage for service desks if several members of their staff are attending the M.E.T.R.O. Way training at the same time. M.E.T.R.O. Way trainers do not need to attend a training session as participants.

 

  • Action Item: All training requests for M.E.T.R.O. Way sessions should be submitted by Friday, September 1. Every staff member needs to complete the training by Staff Development Day, Monday, October 9.
  • Action Item: Internal Communications Coordinator Victoria Garten will be sending out a survey about communication soon, which everyone should complete. All staff are also encouraged to send Victoria ideas or topics for the staff newsletter, Shelf Life.

 

  • Budget Plans – Kay described the process for determining FTE for AS1s, which involves averaging the hours worked per week for the previous year. She also related that she would be making determinations regarding each location’s decision package (items like furniture and technology) next week.
    • Action Item: Library Managers should review their decision package requests and provide any changes to Kay by Monday, August 28th at 2pm.
    • Action Item: Kay will be sending LMs an FTE report from last pay period & managers will need to respond with any positions that have been vacated since last pay period or any major deviations from AS1 staff members’ regular schedules.

(I did not include any information here because it was pretty straightforward – use these forms when you have vacancies or when an internal or external event is being planned at your location after business hours. And Risa just stated that a workgroup made up of the ASMIIIs and herself would be determining hiring best practices for open ASI positions. If either of you thinks I should include some of this here, please let me know.)

  • Workgroup – Initial Feedback of A&E Position Review

The Adult Engagement workgroup has come up with suggested training for AES staff, as well as reviewed the AE job documents for consistency and to ensure role delineation between positions.

The Youth Engagement work group is determining training needs and mentoring opportunities for YES staff.

  • Action Item: The Adult and Youth Engagement workgroups will be comparing what they’ve each come up with so far to ensure consistency and provide feedback.

The Access Services workgroup has reviewed job documents for Access positions to ensure consistency. They have also identified what the primary and secondary tasks are for AS1 positions and AS2 positions and defined success for each role. They have also made training recommendations for Access Services staff.

  • Action Item: All workgroups will have sought feedback on their work and finalized their recommendations by the next Library Managers’ Meeting on Thursday, September 14. The resulting recommendations will be shared with staff soon after.

All staff or public service staff?

In the action items regarding training, the minutes state that "All training requests for M.E.T.R.O. Way sessions should be submitted by Friday, September 1. Every staff member needs to complete the training by Staff Development Day, Monday, October 9." Does this actually mean all system staff, or all public service staff? As a non-public manager, this is the first that I have heard about such a requirement, and if I am supposed to respond by Friday, I will be hard pressed.

METRO Way

Hi,

My apologies for lacking clarity. METRO Way is a customer service model that all employees can benefit from, however it is only required by public facing staff. The workshop are open to all staff to let all employees have the METRO Way experience and know what the expectations are of the public facing staff.

With recent events, we are at a temporary pause with the exception of the courses scheduled the week of 9/2/17. More to come as the Executive leadership team identified a path to continue.
