Alignment Project Planning Team Minutes - March 30, 2017

Questions and Feedback from the Frontlines

The Committee shared and discussed some of the questions that have arisen regarding the alignment. 

It was noted that feedback from managers on ideal staffing is due 3/31 and the secondary surveys are due on 4/5. 

The Workgroup proposals are up on the intranet and that has prompted some questions about how they will be implemented.  These proposals include both short-term components to be implemented as part of the Alignment and long-term components to be implemented after the Alignment, in some cases long after.  The proposals are not implementation plans and have not yet been finalized.  As the alignment project progresses, the APC will contact libraries and departments about setting up/attending staff meetings to help answer questions. Libraries are encouraged to invite Tim Kay or Michele to staff meetings if they have more immediate questions and concerns of staff to be addressed.

The Committee discussed the implementation and training for after the alignment structure is in place.  The tasks for the implementation phase will soon be added to the Work Plan timeline.  Information will be gathered from the libraries that are currently taking steps to prepare for implementation so that some best practices can be identified for use at all locations.

Short-Term Staff Development Plan

Michele shared a draft of organizational needs for staff development and asked for feedback on priorities and on other topics that might be needed. 

Update on Non-Public Service Staff Alignment

Tim reported on the alignment meeting with the non-public service staff. There will be a position mapping document for these positions by April 20.

Alignment Progress Check/Calendar Update

Michele shared the Work Plan calendar and identified updates. The Committee discussed.

Other

A post-alignment plan will be prepared to outline the projects that will take place after the alignment structure is in place.

Chris shared the results of the trial of Gimlet software. Staff at several locations participated in the trial.
