Alignment Project Questions and Answers
Are we focusing on the alignment before we start the initiatives, or working on them simultaneously?
The Alignment is expected to create a few (5-10) openings across the organization, and when they appear, you can apply for those that match your eligibility and interests.
The responsibility for weeding, using Collection HQ and other tools, will be a responsibility of the Access staff. As we will be looking at the collection as one collection housed across the county, it is also likely that the Collection Management staff (formerly the Materials Selection staff) will be more involved in shaping the collection after purchases have been made (i.e., weeding, transferring, and management of the Collection Anywhere Center/Warehouse).
Additional question: Do you envision the supervisor working with the engagement staff to produce programming and ensure that programs meet MLS standards or will the supervisor act more as a liaison between staff and the new Learning Experience Division?
All of this is under discussion right now, and we will be working with the Alignment Project Committee to further define the roles and responsibilities for each position. I can tell you that the goal is for Engagement Supervisors to not only manage staff, but to be a strategic partner who works closely with staff in the new Library Experiences Division to carry out new programs. If a particular Engagement Supervisor has a passion for program development, then he or she might want to serve on the Program Planning Work Group (again, this team doesn’t exist yet. I’m just trying to give you an idea of how it might work), helping plan programs for the system in collaboration with the LE staff. Engagement Supervisors will likely facilitate programming occasionally, and they will also likely be responsible for managing the evaluation component for local programs. So to answer your specific question, I think the Engagement Supervisor serves in both a liaison capacity and as a leader for local programming/programmers at their location.
There will be cross functioning in various levels at all libraries. The intention is to ensure that regardless of a staff member's location, she will do the same job as others with the same title. That said, supervisors' primary responsibility is on supervising.
While we would always prefer to hire an internal candidate, we are committed to hiring the best candidate for any open position.
The Alignment will not actually create any brand new positions. There may be 5-10 new full time positions as a result of the Alignment, but these will be filled utilizing existing vacancies. Any staff member whose qualifications match the requirements can apply. All part time staff members who are part time today will remain part time unless they apply for a vacant full time position. Moving forward, when a part time staff member vacates her position, the managers will work with Administration to determine if the position needs to remain a part time position, or be converted to a full time position.
This will be determined as we finalize each position's job description. As will be true with roles (i.e., InterReach, programming, shelving, supervision, etc.), some positions may not be able to continue activities they have previously done.
The Organizational Development office is gathering information on tools that employees may find helpful.
The plan will be to provide any and all necessary training for the Access Services staff and the Engagement Service staff when they take on their new duties.
