Alignment Project Planning Team Minutes - March 16, 2017
A&E Workgroup Progress Check
Ashley provided a draft of the work group's progress to date and the Committee discussed. The group proposal includes:
- Service model statement of the METRO way: Make contact, Engage member, Teamwork, Reaffirm and connect, Outgoing wrap up
- Member experience model of one stop shop and concierge
- Guidelines for rotations of staff time (public floor, backroom, engagement, project time, shelving)
- Possible use of zones for staffing the public floor
- Guidelines/baselines for the community engagement initiatives
Virtual Library/Call Center Workgroup Feedback
Melody shared an overview an recommendations for the virtual library/call center and the Committee discussed. The workgroup proposal includes:
- One unit to handle both online services and phone calls.
- Phasing in the call center by starting with one or two libraries, assessing the workflow and workload and then phasing into other libraries.
- Equipment, space and staffing recommendations
Melody provided examples of calls that the CC/VL should handle.
Beyond the Walls Workgroup Feedback
Melody provided an overview and recommendations for Beyond the Walls and the Committee discussed. Recommendations from the workgroup include:
- Expansion of Books by Mail
- Review of criteria for Book Center locations
- Development of criteria for large scale events as well as a method for proposing the events.
Community Libraries Progress Check
Chris shared the possible organizational models that the group developed and the Committee discussed.
Gimlet Software
Chris provided information that he had learned about Gimlet software for tracking and gathering data about reference questions. Cost is $2,000 annually and the demo requires a user agreement. A demo will be schedule and Chris will select some staff to use the demo and provide feedback.
Draft survey questions for duplicate position requests – Jessica Gonzalez
Jessica shared the draft she created for a follow-up survey to gather additional information when needed to assist in the case of duplicate position requests. The Committee discussed and decided to look at it again after we know the number of duplicates position requests.
