Purpose

The following guidelines apply to using Library owned mobile devices, such as Netbooks, iPads, Kindles, Nooks, etc. MLS must employ these guidelines in order to keep the equipment available and being used for appropriate business purposes.

Guidelines

  1. The Manager of Library Operations is responsible for ensuring that the equipment is used appropriately. The purpose of using this equipment and software is to increase residents’ awareness of what we offer in an innovative way.
  2. This equipment and software will enable MLS to have portability to allow for issuing library cards off site or away from the desktop computers at circulation and reference. The equipment requires a wired or wireless Internet connection inside or out of the libraries.
    1. Approved uses:
      1. Using the Internet for library business (Library catalog, Overdrive, Databases, etc.)
      2. Issuing library cards remotely
      3. Using MLSLibrary apps (iWeed, etc.)
  3. Each Manager will keep track of the equipment whether it is on site or off site. A sign out sheet will be maintained that will include this equipment.
    1. The equipment needs to remain secure in the daytime as well as at night. The units are very portable and can easily be hidden if someone tried to take it.
      1. Daytime
        1. If a staff member is using it, please do not leave the device on a shelf unattended.
        2. Do not leave it sitting out unattended at the service desk. Put it under the counter or in a drawer.
        3. If you have Touchdown stations located in your library and you want to leave one there, please make sure that the cabinet stays locked.
      2. Nighttime
        1. Units need to be in a locked location, if at all possible.
        2. If not possible to put in a locked location, make sure the units are not left lying out.
  4. There is a web-based version of software that allows for obtaining a library card on or off site. To use one of the devices for this purpose, these guidelines must be followed:
    1. Customers with Special Stops are to be advised to go to a library.  If they own money they must be advised to go to a library to take care of their fines.
    2. Eligibility requirements are no different and must be followed according to AL 200.
    3. No money will be accepted. If the person has had a lost a library card, we will charge the $1.00 replacement fee to the prepaid account. Since there is no printer available, the employee may explain the details of charges with the customer verbally or in writing.
    4. No annual fee cards will be issued.
  5. To use the equipment outside of the library:
    1. The employee is responsible for providing a secure location to transport and store the equipment until it is returned to the library. The employee must ‘sign out’ for the equipment.
    2. A minimum of two employees are required for presentations; one must have regularly worked circulation within the past year and the other is the speaker.
    3. Library card applications will be double checked and submitted to Circ Control within two days of the issuance of a card.
  6. When using one of the devices off site, employees should remember to bring the following items:
    1. Application forms: the employee must note on the form that the card was issued remotely
    2. Postcards to offer the customer a way to prove his/her address
    3. Resources for confirming that addresses are located in our service area
    4. Forms to complete for school visits if a student has a library card with problems. Employee should fill this out so the student may share with his/her guardian.
    5. Material with information about our services or upcoming events

Library Card Presentations

The type of card issued depends on where the person resides and/or owns property.

  • To qualify for a primary card, a person must live or own property in Oklahoma County or Oklahoma City.
  • To qualify for a reciprocal card, a person must live, work, or attend school in Cleveland County, McClain County, or Pottawatomie County.
  • To qualify for a school card, a person must attend or teach school/college in Oklahoma County or Oklahoma City.
  • If the person does not meet eligibility requirements for any of the above cards, they would need to purchase an annual fee card (currently $40 a year). Additional cards for immediate family members can be obtained at no additional charge.

To obtain a library card, a person needs to provide proof of identification, one showing his/her current address; picture identification is preferred. (see back of library card application for acceptable ID)

  • Persons age 17 or older must show two forms of identification which must include one with his/her current address. He/She will fill out an adult card application.
  • Persons under age 17 must show one form of identification, listing their parent/guardian and current address, and fill out a student card application. Both the child and the parent/guardian must sign the child’s library card.
  • Only the persons signing the library card can use the card.

Once a person has obtained a library card:

  • Library cards can be used at all of the 18 libraries located throughout Oklahoma County.
  • Customers are expected to notify a library if they lose their card or change their address.
  • If a library card is lost or stolen, there is a $1 charge to replace the card; materials checked out using the lost card will be automatically transferred to the replacement card.
  • No person can have more than one card.
  • If a customer has materials or fines that are 60 days past due, the problem will need to be addressed before a replacement card can be issued.

Customers can use their library cards to:

  • Check out books, magazines, music CDs, books on CD, DVDs, downloadable audiobooks, ebooks, and Playaways.
  • Access the Internet at any of the libraries in Oklahoma County.
  • Place reserves on materials for pickup at their desired location either at the library or through the online catalog.
  • View their borrowed materials and renew items.
