Outcomes Steering Committee Minutes

Based on the great work in the form of the Community Needs Assessment completed by the EPS Department and the Engagement Managers, it became apparent that for Metro to make progress in the six outcome areas will take a coordinated effort by not only our Public Services staff, but of the departments that support the ongoing work of the Library System. In order to support the outcomes on a system level and to make sure resources are available, a steering committee was formed and met for the first time last week.

On August 22nd, the Outcomes Steering Committee met for the first time to lay the foundation to support the development of a systemwide engagement framework of programs and services. The Outcomes Steering Committee (OSC) is intended to:

  • Provide guidance and support to the six Outcomes Workgroups as they identify and recommend what engagement programs and services should be developed on a systemwide level to achieve each outcome;
  • Review program/service recommendations from Project Teams and Workgroups;
  • Evaluate systemwide resources in relation to Workgroup recommendations;
  • Prioritize the development of programs and services based upon the recommendations of EPS, the Outcomes Workgroups and the Committee’s evaluation of resources;
  • Coordinate the work of departments to support engagement programs and services.

The Outcomes Steering Committee and six Outcomes Workgroups will be working and meeting regularly between now and the end of October. The Outcomes Steering Committee is being co-chaired by Julie Ballou, Deputy Executive Director of Public Services, and Morgan Jones, Manager of Planning and Assessment. The six Outcomes Workgroups are being led by the EPS Managers and Programs Managers and are populated with engagement managers from the library locations. A complete roster will be available on an intranet project page within the week.

The OSC and workgroups will be working together to develop a prioritized list of recommendations for programs and services to be coordinated on a systemwide level. This priotized list will allow us to focus our efforts in a coordinated way on just a few things at a time so that we can master them, before moving on to the next systemwide program or service. Once we have developed an implementation plan, staff will be invited to participate in project teams that will begin forming this fall to develop specific systemwide programs or services.  

There is still much work to be done by many different stakeholders across the organization to develop this new systemwide engagement framework of programs and services. We are working on setting up a project page on the intranet in order to share the project documentation with staff so that you can see the timeline for the next few months and keep up with developments. We will be posting minutes for each OSC meeting. The six workgroups will also be posting regular updates to the intranet as well.
