Purpose

To discuss and make recommendations and decisions on issues having system-wide impact on library operations.

Ground Rules agreed upon:

  • Respect confidentiality
  • Be respectful of others’ opinions and time
  • Notetaker comes prepared and uploads minutes within 3 working days of meeting with action items and future planning items cleared noted

Terminology

Library Managers discussed what they are hearing from staff and members about some of the terminology we are using. Some of these terms are part of the policy. This discussion will continue at a future meeting.

Job Descriptions Review

Christopher Stofel, Ashley Welke, and Risa Sargent presented the results of their teams’ reviews of the Member Services job descriptions. The groups will finalize their recommendations for training needs by November 2 and submit them to the Directors of Member Services who will submit them to the proper O.D. departments.

Meeting Room Exemptions

The Meeting Room policy was reviewed along with the list of organizations exempt from paying fees for use of rooms.

Hiring Process for AS I and AS II

The ASM IIIs and Risa Sargent (ASM IV) are close to finalizing recommendations for a hiring process for Access Specialists. An online assessment has been developed for AS I applicants to complete, and HUM agreed to its use. Suggestions will be given for updating the questions asked as part of the online application.

Staff Development Day Review

A discussion was held about the sessions, and all were encouraged to submit reviews to L&D.

Reports

  • TaxAide – Based on input from the Library Managers about their experiences with AARP TaxAide, the Directors of Member Services proposed two options for working with the program this upcoming tax season. The preferred option is to work with AARP to locate them in nearby community centers. Library Managers where TaxAide is requested will work with their Director to accomplish this.
  • Education Programming Development – The staff of EPD are working to understand the various roles of the Engagement Managers and Supervisors and preparing to start the planning process.
  • Virtual Library – Tim Spindle, VL Manager presented data on the numbers of interactions – calls, emails, social media contacts – handled by the VL staff for the first month of operation. The VL fielded an average of 418 total interactions per week.
