YA Services Meeting Minutes - May 2013

Called to order

When you need more Summer supplies, please email Emily, Lisa, and Mary. Before you pull books of out their boxes, please check the age group on the outside of box.  MTC will be doing a special delivery this year, the Summer stuff will not come with your regular shipment. Always say thanks to SONIC for donating money for books to us again this year. If your customers would like to write a letter or draw a picture to thank SONIC, please take it or even facilitate the process (this will be a great activity for teen volunteers)! Kids can pick from whatever age group book they would like, they are not tied down to ages.

Passed around examples of Summer materials. There is an expiration date on the Riversport coupon, should be 2013 not 2012, they know of this issue and will still honor the coupon.

Heidi Port - Volunteers

If you want Heidi to come to your library to talk about volunteer expectations with staff, please let Heidi know. The staff that have had it at their libraries say that it was very helpful.

Some locations have done contracts or agreements with their teens, Heidi will put those on the intranet for everyone to look at.

It is important to make contact with our teen population. These teens will, 10 years or so down the road, be voting etc.

Prepare our co-workers for the fact that there will be an influx of kids and teens during the Summer. Communicate the purpose of Summer Reading to them. Teaching teens life skills. You can't do it by yourself. Take what you learned about teens today and tell the staff about it. Always thank people for doing a job such as "thank you for always being so welcoming to the teens when they are here" this can actually help foster this action in staff. Teens are very important; remember you may be the only adult in their lives that cares.
MC, RE, SO, DN, AL, and Come Read with Me needs more volunteers. So if you have teens that need to volunteer you can send them to these opportunities.

If a presenter comes to your location and they are not getting paid, they are a volunteer. You must have every volunteer or volunteer organization recorded in the volunteer system. You can create a opportunity for a certain group, like AARP, and then every person that volunteers must be signed up in the system.
It's okay for adults to be Summer Volunteers, it's not suggested to put a teen and an adult at the table alone.

Stacy Schrank - Summer Reading Training

It is required for all staff to take Summer Reading Training. Everybody that works for the library is a Summer Reading ambassador. We would like for every person to speak about it willingly and with enthusiasm.

Under each age group, you will see that the goal and prize information is listed there.

Under staff training and resources you will find the SR training video and drawing slips among other things.

New this year, we have all the SR graphics available on the staff training and resources. There are footers and other clipart for you to use.

Kellie is working on the public SR website this should be up by May 15th

• Cheryl - Music Video. April had a fashion show, it wasn't a great turn out but had awesome artwork.
• Julia - Doing journal junkie and loving in. planning on doing a comic book journal junkie.
• Kim - Super hero party on the 18th, handed out marketing. Starts at 1130 and will last until they run out of stuff. Film contest the 26th of July, last Sunday.
• Gloria - After school tutoring program has been super successful so going to do tutoring for reading help during the Summer. 
• Molly - Egg Bomb Painting coming up, have lots of interest, Molly made the paint.
• John - Karie Bond did a babysitting program. Savannah did more post it note murals. Teen advisory getting ready for the Summer. Going to try beach ball crochet.
• Annie - Teen advisory is helping with Summer Reading. And going to have the AMAZING RACE, there are about 4 librarians working on this project. Every contestant will have a passport and every time they complete a clue they will get a sticker and when they have collected all the stickers, they will get a free compass and entered into drawings.
• Taryn - Had centennial Tea and it was awesome. Going to start a Yu-gi-oh club, the teens started a petition and had 40 kids sign it, so it is happening. Like the process of having the kids sign up and kind of plan it and it makes them own it. Did the job fair program and had like 10-15 kids per session, had 15 for the actual fair.
• Elisabeth - Last Saturday, instead of having Village Fair, had Village Fun Day "Get Caught Reading". 
• Suzette - DIY has been the focus lately. Had Iron Chef had over 20 show, and the kids had a blast. Going to do Zombie Cake Pops. And July going to do DIY Mummies.
• Emily - Going to do Spoticus Tour June 4th and 5th. FCBD Emily is going to go get them this week. United Filmakers were supposed to be here today but they might be flakey. Make sure you know how to report Summer Reading statistics. Make sure to keep tabs on what supplies you have/need, please email Lisa, Emily, and Mary for SR supplies needs. OKCPS has virtual schools and we sent them the postcard via email. 
• Stacy - please realize that parents cannot come pick up prizes without children but children can come pick up the prizes without parents. The intent is for kids to be at the library.
• Anna - Been closed for new carpet for the past few weeks. Doing College Prep series OCAP Kelly Kelner, she is fantastic, email Anna and she will give you email contact info.
• Debbie - had Rae Carson and it was wonderful. SteamPunk tea a week from Sunday. Yu-gi-oh continues, but Debbie isn't sure what they do, haha, going to continue it during the Summer. 
• Meg - Has been just kind of laying low and learning about SR. did a twitter poster display with a twitter logo and let kids put what they are reading on it. Anime continues to grow, now has 25-30 kids. Sterling Gates from DC comics is coming in June. Chess club is dead, looking at making it for kids instead. Looking forward to some College programs in the Fall. Doing more in school library card sign ups. Going to try roving reference. Going to try doing some "coffee house" programs, stuff like poetry slams and open mic nights.
• Dana - Tomorrow night doing comic book giveaway and comic books upcycling because they will be closed on the 18th. Had Pre-Prom prep party, it didn't go so well, the girls that came loved it though. The lady that did the makeup was awesome. Going to do a Seed bomb program in the summer. Tyndell gave Dana lots of glass tubes to they are going to make mini terrariums. Going to do an open mic night. Shenall Bonfire by Wendy Wallace, this was a great book for older teen girls. Author skyped into bookclub Dana attended.

Kim Terry - Basecamp

Basecamp is a way for MAC to better communicate with our staff in the libraries. You can see the status of the different projects that you have requested, as well as the projects that your whole library has requested. You can see start dates and when they are supposed to be due. As soon as MAC gets a project, it is put in Basecamp as soon as they can, definitely within a weeks time.

Basecamp can be as simple as looking at requests, to using it to keep up with your project requests and who and what has been requested. You can review your requests, look for and fix errors.

Emily really likes that we have a history of the different projects requested, you won’t have to worry with keeping all the emails from previous programs to refer back to.

If you use the online "wufoo" project request form, you can add your facebook, twitter, and other press/social media dates.

Kim suggests using the Single Library form for most of your MAC requests. This is the easiest form to use!

For last minute requests, known as OMG requests, you can look through the MAC projects catalog, find a previously done flyer, and just let MAC know what information you would like changed. For OMG projects, MAC requests that you do not as for the artwork to be changed. If you are just recycling artwork, please still give the 30 advance notice for projects.

Dana reminded everybody that this 30 day period should end when you want your projects delivered and not on your program date so that you have time to properly advertise for your program.

If you have an order under 150, you can have these printed in-house. If your order is 150 or over, this must be sent to the printers. Bookmarks always look best when they have been sent to the printers!

If there is a program that your library does a lot, you can ask MAC to make a template for you. MAC would like to remind everybody that they have access to lots of different fonts that the rest of the library does not so take that into consideration.

If you see something you like in the gallery, you can reference it in your MAC request, anything from graphics to the font.
