ROCV - Steps for Staff

  1. Witness Rules of Conduct Violation
  2. Log into MyMetrolibrary
  3. Fill out Staff Report Section
    1. Fill out the incident report with as much information as possible.
    2. Select Additional Staff Involved or who may have witnessed the incident
  4. Click on the Staff Actions/Recommendations tab and fill out the necessary fields:
    1. Select Actions/Recommendations
      1. Level V – Recommend Barring of All Library Privileges to Manager
        1. Contacted guardian
        2. Contacted police
        3. Include Police names
        4. Case number
        5. Evicted from the library within the past 30 days
        6. Suspended from the library the previous month
        7. Warned two or more times within the past 30 days
      2. Level IV – Recommend Suspension of Library Privileges for Extended Time to Manager
        1. Contacted guardian
        2. Contacted police
        3. Include Police names
        4. Case number
        5. Evicted from the library within the past 30 days
        6. Suspended from the library the previous month
        7. Warned two or more times within the past 30 days
      3. Level III – Recommend Suspension of Library Privileges to Manager
        1. Contacted guardian
        2. Contacted police
        3. Include Police names
        4. Case number
        5. Evicted from the library within the past 30 days
        6. Suspended from the library the previous month
        7. Warned two or more times within the past 30 days
      4. Level II – Evict for the Day
        1. Asked to leave library
        2. Contacted police
          1. Include Police names
          2. Case number
        3. Educated and warned within the past 30 days for the same misconduct
        4. Warned
      5. Level I – Educate/Warn
        1. Advised conduct is unacceptable
        2. Contacted guardian
        3. Educated what conduct is expected
        4. Involved Security
        5. Include Security names
        6. Warned
      6. Awareness
        1. No action taken -
          1. Explain why no action was taken
        2. Involved Security
          1. Include Security names
    2. Ready to Send to Manager for Review?
      1. Yes - will automatically email your library manager. 
        Send to Manager on all incidents involving Level I - Level V actions/recommendations.
      2. No - Saves the incident as an informal log entry.
    3. Push the Save button
  5. if Additional Staff are selected
    1. Staff will receive an email from the ROCV system alerting them to the new incident report.
    2. Staff can click Edit tab to add Additional Feedback
      1. Click the Additional Staff Involved Feedback tab
      2. Add feedback and name to post
      3. Push the Save button
  6. if Manager Notified
    1. Manager will receive an email from the ROCV system alerting them to the new incident report.
    2. Manager will visit report (link provided in email) and login if necessary.
    3. Review report
    4. Click the Edit tab to add Manager Recommendations/Actions
      1. Add Manager Feedback
      2. Manager Actions/Recommendations
      3. Send for Further Review?
        1. No - File for informal log.
        2. Yes - Send to Security Manager
        3. Yes - Send to Regional Director
        4. Yes - Send to Deputy Executive Director
      4. Push the Save button
  7. if Security Manager selected
    1. Security Manager will receive an email from the ROCV system alerting them to the new incident report.
    2. Security Manager will visit report (link provided in email) and login if necessary.
    3. Review report
    4. Click the Edit tab to add Administrative Recommendations
      1. Add Security Manager Feedback
      2. Security Manager Actions/Recommendations
      3. Send for Further Review?
        1. Yes - Send to Regional Director
        2. Yes - Send to Deputy Executive Director
      4. Push the Save button
  8. if Regional Director selected
    1. Regional Director will receive an email from the ROCV system alerting them to the new incident report.
    2. Regional Director will visit report (link provided in email) and login if necessary.
    3. Review report
    4. Non-Regional Library - Click the Edit tab to add Administrative Recommendations
      1. Add Regional Director Feedback
      2. Regional Director Actions/Recommendations
      3. Send for Further Review
        1. No - File in log.
        2. Yes - Send to Security Manager
        3. Yes - Send to Deputy Executive Director
      4. Push the Save button
    5. Regional Library - Click the Edit tab to add Administrative Recommendations (non-regional library)
      As a manager for a Regional Library you have already filled out the Recommendations and Actions in the Manager section so you would have an additional opportunity to add feedback as the Regional Director at this point.
      1. Add Additional Feedback
      2. Send for Further Review
        1. No - File in log.
        2. Yes - Send to Security Manager
        3. Yes - Send to Deputy Executive Director
    6. Push the Save button
  9. if Deputy Director selected
    1. Deputy Director will receive an email from the ROCV system alerting them to the new incident report.
    2. Deputy Director will visit report (link provided in email) and login if necessary.
    3. Review report
    4. Click the Edit tab to add Administrative Recommendations
      1. Add Deputy Director Feedback
      2. Deputy Director Actions/Recommendations
      3. Send for Further Review
        1. No - File in formal log.
        2. Yes - Send to Security Manager
        3. Yes - Send to Regional Director
        4. Yes - Send to Executive Director
      4. optional field - ROCV Finalized?
        1. May make selection on the status of the Incident Report
      5. Push the Save button

 

Additional Workflows

if Customer is Barred and Banned - (recommendation from Deputy Director)

  1. Deputy Director selects one of the two Barring options
  2. Email submitted to Nita to generate a Bar and Ban letter
  3. After Nita has written and submitted the letter, she will upload the letter to the incident report.
    1. Visit the ROCV Entry
    2. Click Edit Tab
    3. Click Additional Information tab
    4. Add any additional notes
    5. Add Ban Date
    6. Upload Ban Letter
    7. Select any additional entries of this individual in the Also See to join all of the records together.
    8. Add Name to Barred and Banned List (no need to upload the Ban Letter)

 

if Customer is Barred and Banned or Suspended

  1. Deputy Director selects one of the two Barring options---or---Manager selects suspension or another action on their card is needed
  2. Email submitted to Cheryl to update customer's library card to reflect needed changes
