Operations Minutes - December 01, 2020
Facilities Maintenance Related Projects
Downtown Library – The City of Oklahoma City has approved for Orion Security to continue with the burglar alarm project. Work is scheduled to begin on December 11th.
Choctaw – We are continuing to communicate with the City of Choctaw and work with the City Manager to resolve the issue with water not draining correctly and causing erosion issues at the Choctaw Library.
Delivery Route System – We are currently reviewing the current system in place and considering a two-route system to put in place to ensure we get to every library daily regardless of staffing levels.
Del City – We are currently working with Infosys to install a new security system in the Del City Library. The security system will also include two wireless panic buttons.
Edmond – We received a trouble signal from one of the silent alarms. Upon assessment from Infosys, it was determined that the two panic alarms are currently faulty and will need to be replaced. We are working with Infosys to have these installed as soon as possible.
Supplies – We are well stocked after a recent replenishment of PPE supplies. We also have two large pallets of ice melt so we are well stocked should we have any more adverse winter weather this season.
Capitol Hill Library - Studio Architecture is still working on the completion of the new signage for the northwest corner of the building. Wynn Construction will also be replacing some of the landscaping that did not survive the first two years. The artist has installed anchor poles for the public art piece to be used for suspension of the art.
New Facility Access Control Hardware/Software - Hardware is installed at the New Del City Library, Harrah and Luther Libraries. We are working with Information Technology and Security on the implementation/configuration of these new systems, not yet activated.
Capital Projects
New Del City Library – Construction is entering the final phase. The GC is working to correct any issues found during the punch list walk through. Final inspections should be completed in the next few weeks. Shelving installation and furniture deliveries will begin in January 2021.
Belle Isle Renovation/Addition – Demolition is ongoing inside and dirt work has begun on the outside. Asbestos abatement is complete, so work has resumed inside the building. We met with City of OKC and ADG on October 30th to discuss issue with an add alternate for the project concreting the interior glass. The interiors design review of the drawings missed a detail which resulted in an inaccurate bid for the glass interiors. Discussion is ongoing whether or not to accept this change order as a result.
New Almonte Library – The City Council approved the contract for architectural/engineering and design services for the new Almonte Library on November 24, 2020. The project is awarded to Hornbleek Blatt Architects of Edmond, Oklahoma. The contract price for design services is not to exceed $583,517 and the construction budget for the project is $5.7 million. The preliminary design report is expected by the spring of 2021.
Edmond Library Kiosk – The Edmond City Council approved the project agreement for the 24-Library Kiosk to be located at Mitch Park in Edmond at their November 23, 2020 council meeting. The City has committed up to $90,000 towards project expenses.
Ralph Ellison- One of the windows was broken during installation and will be reordered and installed when received.
Southern Oaks – Curb construction is complete and window framing installation is underway. We have not received an updated timeline for completion; however, we believe it will be at least two weeks until completion.
The construction for the Southern Oaks Health and Wellness Campus and library sign is in progress. The steel framework is in place and signs are in production.
Wright – Studio Architecture is working to rebuild lost design files and notes for this project, and it is on hold until they recover lost work and are ready to proceed with the production of as built drawings and then the redesign of the interior.
Future Projects – Over the next several months we will be working with various departments/libraries, as applicable, planning how to move forward on several projects in our FY2021 budget to include: Recarpeting Choctaw Library/New Furniture (May require up to a three week library closure), Community Libraries ADA Restroom Assessment, Furniture Replacements at Warr Acres Library, Downtown Library 4th Floor Meeting Room Presentation Boards/Wall Repairs, Wayfinding Signage (Marketing initiative) for Del City, Midwest City, Capitol Hill, Bethany, Village. We project that it will be after March 1, 2021 before any site work commences for any of these projects.
