Purpose
To discuss, make recommendations and decisions on issues having system-wide impact on library operations.
Summer Reading Volunteers - Heidi Port, Volunteer Coordinator
- To equip volunteer supervisors across the system, there will be three trainings leading up to summer covering a variety of topics.
- Heidi has been working with Youth Engagement Supervisors to generate systemwide volunteer experience to teens.
- Book Sale update- remaining bookmarks going out to all branches this afternoon.
Library Accounts
- Risa proposed an update to AL 200.1 which removes specific instructions (as they are now included in the Access Services Training Manual) while also making access as easy as possible for customers. This update will also define school accounts as expiring 1 year from the date they were established.
Access Training Update
- Risa shared that registration is open and seats are still available; please be sure Access staff are signed up to attend
Pests in the Library.
- Risa passed out an updated version of the Pests in the Library document for feedback. Discussion about systemwide documentation, tracking, and support needed from system departments ensued. Risa will work with staff from the Village and Natalie Currie (BI) to brainstorm solutions. Ben Mead-Harvey will email Curtiss with suggestions or questions about MTC actions.
Hiring Process AS I & AS II update
- Risa shared the proposed updates to the hiring process and asked for feedback. Supervisors will review the document and email their feedback by next Thursday, Feb. 15.
Comp & Class Update
- Kay reported that the A & P Committee approved the Class and Comp structure and scale (adding an additional 3 grades and the minimum and maximums for all grades). The Commission will vote at their regular meeting Feb 15.
Budget Update
- Kay, Morgan and Charisse are working on a document that will structure budget requests in the context of business plans and the strategic plan. Morgan will be sending this document out soon. The timeline to prepare business plans is Feb. 12-Mar. 2.
- The Long-Range Planning Committee will discuss budgeting for capital projects at their Feb. 19 meeting, which will have an impact on annual business plans. Some of the smaller projects covered in this budget are The Village’s renovation, updates to carpet in 3 libraries, A/V and makerspace for Bethany, and the software upgrade to replace Evanced.
Collection Development Discussion
- Risa and Melody have been working to finalize how we define collection development and maintenance in public services’ job descriptions using the work completed by the Library Manager groups and more recent documentation from Julie Ballou. The next step is to compare the collection duties outlined to the most updated versions of job descriptions. Managers are encouraged to share their feedback on the document by end of day Thursday, Feb. 15, so the recommendations can be completed for HUM.
Education and Program Development Plan
- EPD is using the book “5 Steps to Outcome-Based Planning & Evaluation for Public Libraries” to drive the planning process.
- Feedback from Engagement Managers and Supervisors about the proposed model was shared and discussed.
- Maurice Sendak’s 50-year celebration of Where the Wild Things Are exhibit is coming in June-July 2019. The Summer Reading theme will be related to this exhibit instead of using the collaborative as we have for the past several years.
Virtual Library Update
- Managers are encouraged to share with staff and volunteers their before and after-hours phone numbers to expedite calls. The types of library-related calls Virtual Library forwards to branches are typically shelf checks and lost and found questions. The goal is to take all libraries’ calls by the end of the fiscal year.
Reminders/Updates
- Replacement of nametags across the system is getting expensive. Staff will now pay $6 to get a replacement, which will be withdrawn from their paycheck. New hires will still receive 2 nametags.
- Please encourage staff to attend the “Time to Talk” series with Kay.

Have we considered dispensing with the magnetic nametags and going back to photo IDs on a lanyard?
Yes, the Senior Management Group had a lively discussion about nametags. One of the considerations was going back to lanyards and photo IDs. There are pros and cons to both types of name tags. You may remember, there has always been a charge to replace nametags - even the photo IDs, so this is not new. Admittedly, in practice, the replacement fee was often waived. Due to the increase of replacement requests of a more expensive badge, a replacement fee will be charged.
I will add, the discussion of name tags is not over. If anyone has suggestions or input, please advise your supervisor.
Personally, I find the magnetic name tags to be a nuisance. They don't stay on (especially if you're shelving books all day) and I'm constantly having to re-attach the magnetic strip. Using the seat belt in the car is a guaranteed way to lose one. I prefer the lanyards.
How difficult/costly/annoying would it be to offer both types and give people a choice of which to wear?
Judging by the comments here, people have pretty strong feelings about the one they prefer.
Personally, I much prefer the magnetic name tags. I did have an issue with the magnet falling off and sticking to shelving recently which took all day to locate while doing morning reserves. I would still be happy to pay the replacement fee if necessary rather than go back to lanyards. I think they look more professional and are more easily read by customers.
