Minutes & Review

Discuss: Minutes for the current meeting will be reviewed by two other managers to check for accuracy and completeness, and posted to the Intranet within a week.

Action: The current minute-taker will forward the completed minutes to the managers on either side of them in the rotation schedule by the Monday following the meeting. These managers will review and comment on the minutes by Wednesday, and they should be shared on OneDrive and posted to the Intranet by Thursday.

Discuss: The new Access & Engagement model is changing our staffing needs, and will continue to do so as more components come online. Rather than automatically filling vacated positions, each vacancy will be reviewed by the manager to determine whether it will be filled, and by what position. As part of this evaluation, libraries will need to assess the impact of the Virtual Library, what impact the new supervisor positions will have on coverage, whether tasks are not being completed with current staffing, and opportunities for improved efficiencies, among other considerations.

Alignment Discussion – Kay Bauman

Announcement: Risa Sargent shared the ASM I position that had been posted at the DN library has been changed to an ASM II. All applicants have been notified, and the hiring process has been moved back one week to account for the change.

Working Together on Scheduling: Access & Engagement – All

Discuss: Full implementation of the new service model is dependent on the Virtual Library coming on line and Metro Way training giving Access staff the ability to handle the majority of member questions and effectively triage the rest. In the meantime, supervisors can help prepare their staff through pairing Access & Engagement staff to job shadow future responsibilities, cross-train any skills or tasks which can be trained in-house, and encouraging Engagement staff to get away from the desk and rove as much as possible.
