Submitted by ewilliams on Thu, 02/12/2015 - 14:58

Date: February 3rd, 2014
Attendance: Chair: LaVetta Dent; OUT: Emily Williams, Kristin Williamson; NW: Erin Bedford; LO: Kay Bauman
- Report from LaVetta
- Scheduling meeting with DVS to talk about the list of specific drawing prizes
- Met with Barnes & Noble to talk about Come Read with Me and also discussed Nooks for possible Summer Reading prizes. Kay mentioned that the library has done numerous trainings for B&N and they should consider donating Nooks to us.
- Presented the leftover volunteer gifts as possible “grab bag” goal incentives for adults: bags, mats, book lights, rocks, word magnets, etc. There was a discussion about library space limitations and the best way to use and distribute these items. One suggestion was to move them to the OUT supply catalog for everyday library use, and not as summer incentives. The group decided we needed to find out the numbers involved with these items before continuing.
- OUT is compiling items and numbers for our supply catalog and will have a list to Kellie by April 1.
- OUT is looking into the possibility of having another School Library Media Specialist breakfast meeting this spring.
- Report from Kay
- Monitors - Talked to Anne in IT about the potential use of monitors to display Summer Reading photos from customers and staff. We discussed the technical specifications and limitations. Conclusion: the monitors should be able to read JPG files on a USB drive. As long as libraries are able to physically reach the monitors, this plan should work. Emily will investigate their accessibility.
- Photo Software – Kellie has reassessed her recommendation. Flickr is the best option.
- Web updates – Kay talked about the Summer Reading site and library card integration. eVanced is sending the CSLP templates. Everything is on track.
- Pay-it-forward and Goal 3. The group discussed the differences between these new features of Summer Reading and the need for better names because of some confusion. Kristin suggested “Read it Forward” for Goal 3.
- Pay It Forward: when a customer does not want to keep or use their fine waiver, volunteers or staff can suggest they “pay it forward” and leave the waiver for someone else to use. Staff will collect these waivers at Circulation and use for customers in need. Volunteers should be able to mark on a customer’s Summer Reading record if they donated their fine waiver and at the end of the summer, we can send thank you emails to those who did so. This will not be something we necessarily publicize; rather, it should be a conversation that happens between the customers and volunteers/staff as needed.
- Read It Forward (Goal 3): for every customer who reads and tracks an additional 30 20-minute sessions after Goal 2, one book will be donated to the Ronald McDonald House.
- Report from Kristin
- Child Development Tips Group and Display Task Force – Kristin set these groups up on Basecamp and handed out assignments.
- Book Order – members have compiled lists of titles and the next step is to price items and set up the order.
- Report from Emily
- Posted updates on Basecamp about Read It Forward and drawing prizes.
- Contacted OKCPS about their attendance at a School Library Media Specialist breakfast.
- Report from Erin
- Still having POS issues. The group had a short discussion about how to mark the Fine Waivers and we will wait as tech issues are being sorted out.
- Pay It Forward – Fine Waivers
- The committee discussed how this would be marked in Summer Reader. We want to make sure this is clear so we can most accurately track who pays it forward. This will help our records and will be used to compile an email list for thank you’s at the end of Summer Reading.
- Questions for Kellie about a possible yes/no setting on the customer’s record:
- What is the question?
- What is the default? We only want to have to mark something if they do not want it.
- Logos on book plates
- The group had a discussion about the number of sponsor logos on each book plate. We want to make sure sponsors feel appropriately recognized and that we are in line with what they signed up for. LaVetta will talk to MAC about the logistics of the book plates.
- Deadlines – it was mentioned that some deadlines had been updated on the Basecamp calendar. Emily will confirm that the MAC deadline for school postcards is still April 15 (it is). This is necessary because the school mailing has to be complete by the first week in May.
- Thank you cards – we would like to have some thank you cards printed for sponsors, and route them out for children to sign at the library locations.
