Staff Association Meeting Minutes - January 2013

Executive Committee Meeting
January 24, 2013, 2pm

Present:  Lisa Coker (Materials Services), Kevin Colwell (Technical Processing), Kim Edwards (Downtown), Dave French (Belle Isle), Jerod Gerfen (Midwest City) - Secretary,
Jennifer Jones (Capitol Hill) - Vice Chair, Tulin Lafollette (Del City), Barb Parr (Southern Oaks), Vickie Ross (Edmond), Jeremy Titsworth (Northwest)

Introductions: Kevin Colwell (TP) and David French (BI) are our newest Staff Association representatives. Jennifer educated Kevin and David on the responsibilities expected of SA representatives in regards to the quarterly United Way drives.

Approval of minutes: Jennifer brought the approval of October’s minutes to the floor; Lisa motioned for approval, Jeremy seconded the motion.

Treasurer’s report: Lisa reported that our current total funds are at $354.29, with overall membership at 16%. This is a considerable drop in our membership totals, so a concerted drive may be necessary in the near future. Lisa said that plenty of informational/marketing materials are available for staff recruitment.

Ad-team meeting highlights: Our Ad-Team liaison, Kim Terry, provided Jennifer with the highlights from their last meeting. Jennifer provided everyone with a copy for review.

Warm Fuzzies: Jennifer wanted to discuss the current status of the “Warm Fuzzies” project. The general details are as follows:

  • Employees will access a link on the Intranet where they can create a personalized message recognizing the service of a fellow employee. They will then print off the form and submit it to their Staff Association representative with $1. We will adorn the message with a warm fuzzy and submit it to the particular individual at a later date.
  • The window of time for employee recognition will be from April 1-15th. We will bring all the money and messages with us to the following SA meeting and assemble the warm fuzzies for submission.
  • Letter-sized flyers to market the event will be requested to MAC. Jennifer said that she will submit the MAC request. The message on the posters will read “Give a warm fuzzy to a friend.” The poster design will include smiley faces, warm fuzzies, etc.
  • Brittany will be in charge of speaking to Kellie Delaney about making the staff-recognition forms available via the Intranet.
  • Jennifer found that various fuzzies are available in the Oriental Trader catalog. However, she was unable to find “Metro blue.”

New Vice Chair: Due to Jennifer’s imminent departure from SA, we are going to need to vote for a new vice chair. We will vote on the new VC at our next meeting.

Membership drive: As mentioned previously, we need to think about ways we can increase our membership. We will follow up on this matter in greater detail at a later date.

Upcoming meetings:

Donna will be the guest speaker at our February meeting at Belle Isle.

We will have a guest speaker from the Friends of the Library group in March to discuss the 2013 book sale.

What’s going on at your library?

  • Tulin: DC is still searching for a new building location; a Lego club is now underway.
  • Barb: Some individuals have transferred to the Almonte location which has opened up some vacancies at SO.
  • Jeremy: NW is currently looking for a new assistant manager and a ½ time librarian.
  • Vickie: ED is currently rearranging parts of the collection to make additional space; new shelving is being installed.
  • Kim: Lots of new programming is underway; a ¾ time librarian position is currently open; a new Library Events Coordinator has been selected to fill Tara’s spot.
  • Dave: BI is still waiting for the green light on their numerous remodeling projects; a monetary donation was bequeathed to BI from a long-time customer who recently passed away.
  • Lisa: MSL is busy building up the AL collection (over 12,000 volumes); MSL is considering adding Playaway children’s videos in the future; a new part-time tech was recently hired.
  • Kevin: The service center is busy getting materials processed for AL; a new bench has been installed outside the building.
  • Jennifer: CH is putting up new shelves; the reference desk has been renovated; the walk-in tutoring program is very popular; architects have been contacted for future renovations.
