Train the Coach – Shelving Training – Tricia
Tricia took us through the Train the Coach training for the new shelving training
- Three of the 6 thinking hats
- Coach=person checking slips
- Learner=employee being trained
- Reviewed shelving expectations
- Coach and/or direct supervisor should work to get their schedule to match the learner for the first week or so
- If the coach isn't the direct supervisor, they should report progress to direct supervisor regularly
- Supervisors can only check slips if it is a level we've had training in
- We should only sign off on the checklist once they have 100% (the local template will record all attempts)
Inventory and Weeding Lists reporting – Risa
- The RDs and collection development would like to improve tracking of weeding list completion and inventory section completion
- Each library will have a spreadsheet for tracking both
- Weeding- tracking looks the same for everyone
- Inventory- can be tracked according to local practice
- The goal is to have inventory complete in each area twice a year
- Janeal (CD Manager), RDs and local management team will have access to the spreadsheets
- Expect to start seeing these tracking sheets become available in the next week or so
Staff who appear sick – LaVetta, Kelley H., Stephany D.
- Use your best judgement - talk to the employee about what is normal for them (seasonal allergies for example)
- If an employee has a doctor's note explaining seasonal allergies or similar situations, we can forward that to HUM (Stephany)
- Encourage staff to take responsibility for their health and fitness to be at work
- Staff can also talk through their situation with HUM
- When staff are out for being symptomatic, CDC guidelines currently say the person has been fever free for 24 hours and all symptoms have improved before they should come back to work - HUM will have talked to them about this prior to their return to work
- Any time an employee is too ill to work or if they are contagious, they should be sent home, whether COVID related or not.
Curbside guidelines – Erin
- Curbside guideline document went out last week
- The RDs are trying to put together guidelines for us to refer to so LMs don't have to go to the RDs every time there is bad weather
- We want to keep customers and staff safe
- We also want to provide services people would receive at another establishment in the same weather
- An updated copy of the guidelines was sent out after the meeting
Supporting staff - Mark
- Ideas for ways to support staff that are outside our purview
- Including training
- The managers should talk to staff about ideas and share feedback with their RD by the end of next week

- Discussion on 4 exercises
Location/Department sharing
- ED- Still working on getting caught up from the ice storm; three new library aides have learned their jobs very quickly; staff are returning from leave
- MC- Working on make and take projects; MC and SO are working together on a virtual program
- NW- New hires are being onboarded
- RE- Happy to be open; construction is almost done (waiting for a few more windows); open for grab and go; lots of projects and plans for the centennial celebration
- SO- Open for curbside only due to construction. Fully staffed as of the 30th. Working on Take Home holiday crafting programs.
- VI- Fully staffed. Take home kits are going well. Virtual Wellness Forum went well. French drain has been installed and MTC helped get the tree damage cleaned up.
- WA- Position open in Engagement, BI sending staff to assist. New library aide is doing well and the new AMII starts on Monday.
- Access- Finished the content for online shelving training. Remind staff who are interested to sign up to be an Access trainer.
- AL- Down a library aide. Using windows at the front to help highlight collection areas.
- BI- Several library aide resignations but waiting to fill those positions. Original building has construction moving forward. Starting on furniture and shelving. The power outages have increased visits at the temp location.
- BE- Election day went well.
- CH- Curbside kits and virtual programs going well. The repainting on the outside of the building has been complete. Study rooms have been refreshed. Public art is moving along just waiting on the airplane pieces. Faxing and copying are also quite popular.
- CIS- Power outages at DN have made CIS get creative in how they provide service. Updated the local libraries with hours for the holidays. Keep CIS up to date on what equipment might not be working or if you need to change phone numbers or email groups to send things to.
- CL- Fully staffed for 3 days. Kits are full almost as soon as they are posted and the customer can select which location they would like to pick it up at.
- DC- losing LA to RE and AES to WA; punchlist walkthrough at the new library on Monday; what does a grand opening look like during a pandemic; first weekend of March; lots of RE customers; have had people with power out
- DN- 50% turnover; 4 new staff started last week; take home kits; 30 minute wait time on computers this morning; learning statues are being refurbished; local appreciation put together a wall of pet pictures
Self-check machines will be updated on 11/30 so that customers will no longer need to enter their last name in order to check out. This is to help the machines be more ‘touchless’ for our customers. The account will start to count down after the last item is checked out. After the countdown ends, the machine will either print a receipt or email a receipt based on the customer’s preference set in CARL.X. Customers can still access their account details or make payments, but they do have to touch the screen for those activities.
