Public Services Managers Minutes - May 14, 2020
Summer Reading Update – Emily Williams
Emily provided updates and expectations and shared modifications for Summer Reading 2020, including:
- The program will run June 1 -July 31
- Pre-registration begins May 15
- Beanstack is all online, so this will work great for us this year
- No teen volunteers
- A flattened prize structure has reduced everything to one goal level with the same prizes for all age groups (2 books or a tote, plus a fine waver)
- Prize pickup has been pushed back to August, or perhaps September
- There will be no individual library goals this year. Rather, we will have a community goal of 10 million points
- Read it Forward: There will be no Goal 3 this year. The Endowment Trust and The Friends will donate RIF books if we reach the community goal
- Training is required for all Metro staff as a requirement of ODL for state funding. This should be completed by June 10
- All Metro staff should be able to explain Summer Reading to community members
- EPS will maintain flexible office hours as a replacement for intensive engagement staff training, thru June 6, via Zoom. Check the Summer Reading tab on the Intranet for more information.

Phase 1 Location Sharing (Curbside Pickup) How's it going?
Managers provided feedback regarding curbside delivery, the Bonus Bags program, and local setups and scheduling for curbside service.
- Feedback varied, with the consensus being that curbside service has been well-received by customers though many are eager for expanded services. Curbside delivery rolled out smoothly among staff who are working together, regardless of position, to continue to meet the needs of the communities. The Bonus Bags program has also been well-received by customers and staff alike, with libraries reporting use of this service from heavy to none.
Telework debrief (How's it going?)
- Managers provided reports on how teleworking is going at their locations.
- Managers were reminded that the needs of the Library always come first.
Small Group Discussions
Concepts contained in the book Dare to Lead by Brené Brown were discussed in breakout groups.
Staff Meetings in May - Mark
- Each library should hold a staff meeting in May, either in person maintaining appropriate social distancing guidelines, or electronically via TEAMS or Zoom.
- The meeting can be informal.
- Managers shared examples of how staff meetings have been going since we’ve returned to work, regarding format, general content, and technologies utilized for the meetings.
Small Group Activity - WWMD question – Erin
In a small group activity, participants brainstormed ideas for handling a future potential customer scenario.
Shelving Training / Access Trainings - Tricia
- The Library Manager shelving training deadline has been moved to June 30.
- Access trainings will move to utilizing a flipped virtual workshop model (via Zoom) as it is hard to do social distancing with the previous format. The workshop will feature pre-work with the Access Manual, video tutorials with questions in Edubrite, and breakout sessions in the Zoom meetings. A post-work assessment will include a checklist completed with either the local Access Manager or Library Manager which will be signed off on and sent to Tricia and L & D.
HUM updates - Kelley Hoffman
- Metro will be moving forward with making PPE (face coverings and gloves) mandatory, beginning Tuesday, May 26.
- Staff will need to complete two OSHA courses covering PPE before May 26.
- Any deviation will be subject to progressive discipline up to and including termination. The only time staff will be allowed to not wear PPE is when the staff member is isolated within the building and practicing appropriate social distancing.
- Staff should be sent home if they arrive at work not wearing masks.
- Staff can be reimbursed for gloves.
- Disposable masks will not be an ongoing item available from the supply catalog and should not be used regularly for staff. The disposable masks can be used by staff if their own cloth face covering becomes damaged, such as being punctured or if the elastic breaks.
- Staff can reuse gloves if hand washing occurs and gloves are not damaged, up to 6 times if sanitizer is being used, and up to 10 times if soap and water are being used.

- There is no definite date for moving to Phase 2, though it will likely be sometime in June.
- Managers should collect feedback from customers regarding requests or concerns and send to RDs.
- An additional PSM meeting will be scheduled late next week to keep managers apprised of ongoing developments concerning our phased reopening.
