Facilitator: LaVetta Dent

Minutes: EPS (Emily Williams)

Reviewers: Buddy Johnson, Tricia Andrews

Meeting was called to order by LaVetta Dent

Welcome and Introductions – Pauline

  • Pauline welcomed the group and introduced Kirsten Bryson, Collection Services Manager.

Department Visits (Shadowing) -- Risa

  • Risa is updating a draft job shadowing/working in departments document with updates from the department managers. She asked the group for more feedback. It will be shared with Library Managers when complete.

Timesheets: Exempt/Non-exempt, approvals -- LaVetta

  • LaVetta reminded everyone that non-exempt employees are required to approve timesheets before their supervisor approves them. If this doesn’t happen, there are specific steps to follow, which will be clarified in an email from Julie.

New employee (NEO) training wishlist -- Chris

  • The contents of NEO are being reviewed. Chris asked the Department Managers to send their RD any items we would like to be included by November 24. Library Managers will also be asked for their wishlists and RDs will provide one wishlist to L&D. A discussion about New Employee Training checklists followed.

Meeting room reminders--Erin

  • It is not best practice to allow customers to leave items in the meeting room overnight, especially high-cost items like laptops. Certain exceptions can be made, but the library is not responsible and that should be communicated.

Department Reports

  • Access Services – Tricia is moving monthly AM meetings to every other month. She is reviewing content for the local access manual, working on Carl training for NEO, and has called the Shelving Order and Shelving Training workgroups back into service.
  • Central Information Services – Tim reported the BE information is being updated across platforms for the new location. He is working with ED on their staff doing CIS rotations if needed during their closure.
  • Collection Development – Janeal reported that CD is looking at revamping annual visits to the libraries to make them more useful. They had a meeting with Baker and Taylor about the Del City and Belle Isle collections. Macmillan’s new ebook rules have started. E-resources training is coming. There is an Edelweiss training at the next Library Managers’ meeting.
  • Collection Services – Kirsten said that a Pokemon reclassification project is coming that should help shelving, cataloging, and tech processing.
  • EPS – Kellie shared that Winter Reading Book Bingo is coming in January and February. Staff training will be available in December. The Summer Reading subcommittees for 2020 have been formed and Kristin reported that they will start meeting November 13. Our Summer Reading theme for next year is Imagine Your Story. Emily returned from the YALSA Young Adult Services Symposium and will be working with the attendees on ways for them to share their experiences.
  • Outreach – LaVetta asked that if you have staff who are able to participate in a systemwide Outreach event, that they can sign up online.
  • Public Services – Chris gave reports about libraries, including CH’s public art, BI’s temp location, and the BE grand opening.
  • Special Collections – Buddy said that they are continuing to upload content to the website. Part of the Holocaust Resource Collection is now temporarily located at BI as an experiment to decide if it affects circulation statistics and as an opportunity to try the new AltPAC status in CarlX. 32 students from OCU came for a service day and scanned 630 images.
