Paycom reminders, Chris Kennedy 

Chris receives a report after Timesheet are locked every two weeks.  This report is rather long.  Please remember to 

  • Approve leave requests in a timely manner so that employees can approve their timesheet 

  • Give employees plenty of time to approve their timesheets 

  • Repeat offenses should be noted and recorded on performance appraisals 

  • Chris will disperse information from this report to the RD’s who will discuss any issues with the Manager 

 

Policy Updates, Chris Kennedy 

The Public Services Committee of the Commission will be meeting to discuss recommended changes to some MLS Policies.  These recommended changes are due to two reasons.  First is the addition of meeting rooms at the Bethany Library and the need to update rooms at Jones.  Second is ODL requires a review of certain policies every 4 years.  MLS is presenting several policies that are scheduled for review.  The majority of the recommended changes are housekeeping items like changing the word member back to customer.  

 

Collection Services and Development Management Structure, Chris Kennedy 

When two positions came open due to promotion and retirement, it gave this department the opportunity to restructure.  Going forward, there will be a Collection Services Manager, a Collection Processing Manager and an Assistant Collection Services Manager. The RD’s have an organizational chart you can ask to see. 

 

Chain of Command, Chris Kennedy 

Be aware when you are communicating with someone, that you are talking to the right person.  Examples would be to ask the Director of Strategic Planning and Development if you have a question that his department can answer.  Ask the Director of Facilities Maintenance and Fleet Operations if you need maintenance assistance that the proper Maintenance Request Form cannot provide.   

 

Floating ASII assistance, Erin Bedford 

Generally, this position will help locations in the event of vacancies. Managers can request this position to help with shelvingThe time the floating ASII spends shelving should be comparable to the other ASIIs at your location. The intention of this position is not to fill gaps from approved AVL, unless other circumstances have occurred since AVL was approved. See the “Guidelines for Submitting Floating ASII Assistance” which can be found in the Library Managers SharePoint under Floating AS II Requests.   Library Managers can request assistance for the Floating ASII via the form which can be found in the Library Managers SharePoint under Floating AS II Requests.   

  

LM and AM Managers, Erin Bedford 

  • Library Managers should attend all ASMII meetings when they are in your region 

  • Library Manager should attend AMI meeting when they are at your location 

  • All ASMII’s should attend ASMII meetings each month, if they cannot attend, then a representative from your library should attend 

  • Please let Tricia know if you or someone from your location cannot attend 

  • Tricia will now send out the Calendar invites with the expected attendees to each meeting 

  • Library Managers are always welcome and should feel comfortable to attend any of Access meetings. 

 

Macmillan Publishing, Mark Schuster 

  • Our Digital customer will be impacted by the business model change that Macmillan Publishing has announced 

  • Libraries will be allowed to purchase 1 copy at ½ price on the publication date 

  • 8 weeks later, Libraries can purchase additional copies, but they will go away after 52 weeks or 2 years and each copy will have metered access 

  • An email will be sent to all our digital customers.  The email from our library system will be crafted to reflect positive words and provide other options to our customers 

 

PITS, LaVetta Dent 

A discussion took place regarding how the new Incident reporting software is working at each location.   

 

Emergency Procedures, Mark Schuster 

Mark encouraged Manager to print out the Bomb Threat check list and post it in your library for all to see.  We review the Fire and Tornado emergency procedures on a regular basis, but we tend to forget the Bomb Threat procedures. 

  • Manager’s role is to successfully help the customer evacuate the building 

  • Our MLS Policy is to let the Fire Department take the lead 

  • Our Emergency Bomb Threat operating plan can be found on page 26 of our Safety Manual and on the Intranet under HUM – Emergency Operating Plan 

  • The Bomb Threat Checklist can be found on page 27 of our Emergency Operating Plan 

  • Volunteers are subject and treated same as staff in the event of an Emergency 

  • The question was asked if we have an Active Shooter Operation Plan – the suggestion was made to invite Ed Dillard to come and talk with you and your staff.  He has conducted many trainings on Active Shooter situations for several locations 

  • Managers are to make sure their location phone numbers are up to date and all schedules are printed and placed in the emergency bag
