9:35 Planning and Assessment Updates – Morgan Jones
Notes:
- Assessment software: moving away from Orangeboy to Tableau. Testing different modules to see what will be of best use to us.
- Planning is looking for opportunities for automation: usage statistics, Carl.X reports, etc.
- Working on updated staffing formula. Add additional data points beyond circulation-related metrics.
9:45 Volunteer Badges – Heidi Port and Ed Dillard
Notes:
- We are rolling out a badge system for contractors, vendors, and volunteers. Visitors will sign in each day to receive badges. Help identify non-staff members who are allowed in non-public spaces. It also serves as a record of time spent on contract/volunteer work done. Has been live at DN since April.
- Volunteer’s current sign in process works for them being signed in. Staff just need to ensure they have their badge on.
Next Steps:
- Ed will be visiting with each location to bring badges and answer questions.

10:10 Meeting Room Software Update – Melody
Notes:
- Selected a new company to replace SignUp/Spaces. The company is Library Market. Their event/room reservation software is Library Calendar. Once the new software is installed, Central Reserve Team duties will be transitioned to Central Information Services. A calendar and meeting room (CMR) workgroup has been formed to facilitate the transition of software and ownership of the process.
Next Steps:
- CRT will be reaching out to location SPOCs ensure that room details are up-to-date. Response due by July 31.
- CMR will come by for updated photos in August.
- Training on new software in November. Anticipated launch date in December.

Collection Development – Sarah Peterson:

Locations have been in the process for weeding minicats for some time. Target date to have all minicats weeded: August 31.

Note on Westerns: Please send good condition Westerns to Cataloging to be added to our collection rather than weeding. In addition, send a request to Cataloging if you would like some Westerns to be added back into your collection after this process.

Launchpad review: We have had major issues with loss or damage to launchpads. To date, more than half of our launchpads have been either lost, missing, or sent in for replacement. Due to the high cost and time spent on replacement issues, Collection Development is considering whether or not to discontinue the purchase of Launchpads. Discussion of in-library-use-only options ensued.

Next steps: Solicit feedback from staff. Discuss options other than current use as part of the general collection.

Central Information Services – Tim Spindle:

CIS answers 66% of system phone calls. After new hire gets on board and up to speed, CIS will resume adding locations’ phones.

Assist CIS: CIS is short-staffed and needs assistance with coverage. Please offer staff who might be interested in rotating in to assist with answering phones. Contact Tim Spindle ASAP if you have staff who can help.

Calls about digital content: Please refrain from sending calls to Sadie Bruce. If you need to triage these questions, send to CIS, specifically Jessica Moad at 3824 or Tim at 3825. Sadie does not provide end-user customer service.
Outreach – LaVetta Dent

MLS Outreach Calendar: there is now an Outlook calendar for Outreach. Can be found under Resources -> Calendars -> Meeting Calendar

Outreach events continue to be published. Please regularly review. Offer staff who are interested in attending.
EPS – Melody Kellogg

EPS Cabinets met to dig through the Community Needs Assessment results. Developed Outcomes statements related to Key Findings areas. All-staff survey feedback is now being integrated into EPS planning documents.

Makerspaces at Libraries: Voting on the name for these spaces. Final result: MLS Studios (where MLS stands for Making, Learning, and Sharing)
10:40 Mileage – Julie Ballou
- Looking to revamp mileage form and process to increase user-friendliness. Workgroup to be formed in the coming weeks.
- Reminders with current process:
- Remember to review all entries for the correct number of legs. Must begin and end either at home or home location.
- Supply purpose for each trip. Feel free to write in if drop-down isn’t clear.
- Use user-defined locations when necessary. Supply map showing mileage.
- You do not receive mileage if you are spending an entire day at a different location. For that day, it is considered your “home” location.
- Minimize physical shopping trips. Use Staples and batch purchases as much as possible.

- Notes: After a brief review of the FAQ document, tabled further discussion until a later date due to time.
- Next steps: LMs review questions on the last page of the document bring thoughts to next meeting.

- Jeanene Barnett began as library manager at The Village on July 2. We welcomed her to her first library managers meeting.
- Stephanie Bates has resigned her position. Chris Stofel will be the interim manager at Capitol Hill. Meg Hunt and others will also support.
