Volunteer Duties

Upon arrival at the Fairgrounds/Oklahoma Expo Hall, you will come to the far southwest corner to sign in and make a name tag.

Cashier

Volunteer Cashiers are utilized in both the General Area and Collector’s Choice Area.

Once assigned to a table in your area (General, Collector’s Choice, Express Check-Out), you will be responsible for tallying book totals and receiving payment for the purchase.

Money boxes and calculators are provided to assist Volunteers in this area. Cashier Chairs will be available for questions, concerns, and to change out money boxes, etc…

At the end of your shift, the Cashier Chair for your area with exchange your money box and assign a new Volunteer to take your place.

Customer Service

Customer Service Volunteers manage the dolly station. Once assigned to your dolly station, you will be responsible for assisting patrons and making sure all dollies are kept neatly out of the way so patrons do not trip over or bump into dollies, hurting themselves and/or others. All dollies must be accounted for at the end of Booksale.

Customer Service Volunteers will occasionally be asked to assist patrons with their purchases out to their vehicles. (Please check with your Customer Service Chair regarding questions or concerns.)

Other job duties that may fall to Customer Service Volunteers include:

  • Being stationed at all exit doors to make sure patrons have paid for their purchases before leaving the building.
  • Door greeter and/or ticket taker during Members Only Night pre-sale.
  • Adults capable of lifting the garage doors may be placed at those locations to help clear the building if an emergency condition should arise.
  • Set up rope lines for Members Only Night pre-sale. Be available to public for questions or to direct them to entrance line for Members Only Night pre-sale.
  • Assist in distributing water/snacks/ food to Volunteers (if needed by the Food Chair).
  • The Customer Service area will provide general information and directions to the public and is in charge of the Suggestion Box for Book Sale patrons.

Floor

Floor Volunteers are utilized in both the General Area and Collector’s Choice Area.

Floor Volunteers assist patrons by answering questions and directing patrons to the book section that they seek. (Floor maps of the sections are made available to the Volunteers upon check-in.)

Once assigned to a specific section, Floor Volunteers are responsible for making sure their tables are kept neat and replenished with books. It is important to ONLY take books from under the table from which they are stored as they have been specifically placed at that table during Move-In based on their subject category.

Holding

Holding Volunteers are utilized in both the General Area and Collector’s Choice Area.

The Holding Area is where patrons can keep their books while they continue to shop. Each package is scanned and stored in the Holding Area. The patron must provide their receipt in order to retrieve their books.

Move-In / Set-Up / Move-Out

Move-In/Set-Up Volunteers assist with unloading books, setting up tables/sections, and general organization activities associated with the Book Sale. Move-Out Volunteers assist with breaking down tables/sections, re-boxing books for donation, and related activities.
