9:00Welcome & Introductions

9:05Budget email questions – LaVetta/Chris
The programming aspects of the budget remains the same as last fiscal year. If a location is hosting a program paid for by EPS, then the location is still responsible for paying for the programming supplies.
9:10Engagement & Programming - EPS
Defining Activity – Currently, there is no clear definition as to what Engagement is. After some discussion and an exercise among attending managers, several commonalities for Engagement services (programming, PC assistance, community outreach, etc.) stand out. EPS will share in-depth results of the exercise later.
Food/Cooking programs – Some ongoing concerns about some food/cooking programs have developed, notably liability issues for MLS should people get sick from any foods cooked or prepared at our events by library staff. Possible solutions, such as using certified food preparers as paid performers from local culinary schools (OCCC, Francis Tuttle, OSU Extension, etc.) or even having interested staff acquire food handlers’ licenses were discussed, but nothing was decided upon. While the topic is under consideration, library locations are to not create new cooking programs that are not being headed up by certified food preparers.
9:30Launch Pads update – Sarah/Janeal
Sarah Peterson reported that the discussions regarding the refocusing of Launch Pads within libraries is still ongoing. She will reach out in the future to library managers for feedback.
9:40Department Reports:

Access Services – Risa Sargent
Risa reported that library locations have done an excellent job at deleting old magazine issues. A problem was discovered with placing holds on magazines via issue lists; they are going to locations other than where they are designated in Carl X. A ticket has been placed, and TLC has made this a top priority. A future upgrade to Carl X and Carl Connect will allow the dynamic title routing list to show items in the list immediately once a hold or transfer is placed. It will also remember you location once selected so that you will not need to select the location every time you log in. The Manager of Access position will be reposted soon with a modified job description focusing more on staff development and less on technical aspects.

Central Information Services – Tim Spindle
Tim reported that WA phones were added during the previous week. CIS is now handling 10 out of 18 library locations and approximately 75% of total call volume System-wide. CIS is looking for staff volunteers from the library locations to work/job shadow. Tim also renewed CIS’s request for upcoming Book Club titles.

Collection Development – Sarah Peterson
Sarah reported that Graphic Novel recalls are going well. Replacement procedures will be covered in future work groups.

EPS
EPS requested that library location please report their program attendance numbers on time, no later than the 3rd of every month. These numbers go to the Metropolitan Library Commission every month, and unreported attendance figures make our Commission reports artificially low. Risa suggested that if we have meetings that we do not wish to have attendance for (ex: Teen Advisory Board), then we can enter the numbers into Spaces and not Sign Up. Julie has drafted a new waiver for fitness programs, which is currently being reviewed by legal. An update on the status of our new programming calendar was given, with an anticipated release in 2019.

Outreach – LaVetta
LaVetta reported that Pumpkinville is going very well this month. Thanks to everyone that volunteered!

Public Services – Chris
Chris reported that eight library locations are working with Google for the Chromebook and hotspot grants. Trainings for these are going well. Chris also reminded library managers that reimbursements for professional memberships are budgeted to Public Services (not individual locations) this year, and that an eight-member committee of staff review each reimbursement request. Also, progress towards hiring for several administrative and management positions are ongoing, and selections should be made in a couple of weeks.

Special Collections – Buddy
Buddy reported that Special Collections pairs up with CIS to answer the more in-depth reference questions. While they will try to answer telephone requests as quickly as possible, the best way for customers to request information from Special Collections is to use the online form via Metrolibrary.org. Special Collections is also seeking library staff that wish to job shadow in their department.
