Downtown Library and Department/Offices
Please share this information with all staff.
As most of you know the downtown library will be having new carpet installed throughout the building. I have attached a schedule which provides more detail regarding the closing schedule for each floor. There are some things you need to know and to do before the carpet installation begins.
In summary:
- Carpet installation begins on 4th floor --closed to activities March 17-21.
- 3rd floor- installation on March 24-28.
- Downtown library closes to public on March 31 and will be closed until April 27. (4 weeks)
- Most Downtown library staff will be working at other locations during this time period.
- All staff- library and office staff must clear the top of their desks/bookcases, etc of collectibles, breakables and knick-knacks prior to installation and according to the schedule.
- The top two shelves of storage cabinets must be emptied.
- File cabinets of 3 or 4 drawers should have top 2 drawers emptied.
- Open bookcases must have all shelves emptied.
- Computers will be unhooked (by IT) prior to your area's installation and will be placed face down on desk.
3rd Floor office details, Outreach & DVS
- The Lee B Brawner conf room and training room will be done prior to March 24; so that those rooms will be available to store boxes and portable shelves during the week of March 24. Areas with tile laminate flooring can also be used for storage as that is not being replaced.
- All 3rd floor cubicles will be lifted approximately 1 inch on Monday, March 24th; however you can continue to work at your desk and in your area until your actual carpet installation dates.
- The horseshoe area will be done on March 25-26. Staff members will not be able to work in that area on those two days. Staff can take vacation with supervisor approval or we can arrange access to email in the training room or conference room or on the fourth floor. Supervisors - please let me know how many staff we need to accommodate.
- IT and HR staff will be displaced on Thursday and Friday, March 27th and 28th. Talk to your supervisors about working arrangements and let me know. This should take 2 days.
- Business office, Marketing and Selection will be done over the weekend March 29 & 30th. Staff will need to have desks; bookcases, etc clear by the close of day on Friday.
- Outreach office will be installed on Thursday and Friday April 10 & 11th. Desks and cases cleared by Wednesday. Dana - I know you talked to the carpet installer and have some large challenges. Portable shelves will be available to empty some of your bookshelves.
- DVS will be installed on Thursday and Friday, April 24- 25. Desks and cases cleared by Wednesday April 23.
- We have decided that the atrium area will not be open during the four weeks that the library itself is closed. Security and Headquarters staff will monitor people coming to meetings, classes or have business with a department during this time. The North front door will be locked and people will be directed to the east door.
- A dumpster will be located on the south side of the loading dock for the first two weeks. Traffic in the alley will be unimpeded. For the last four weeks a larger dumpster will be placed in the front loading zone area.
- Installers will be parking in guest spaces 1 & 2 during the entire 6 week period. Please do not park in the guest spaces or other spaces in the alley during this time without permission.
