Summer Reading Steering Committee Minutes - April 19, 2022

Subcommittee Reports (additional detailed reports from February subcommittee meetings are attached at the end of this post) 

  • Library (In-Library & On-Site) Engagement – Dana
    • Toolkit is up. Dana has been adding a few things, sea creature of the week scavenger hunt. Waiting for additional display stuff to come in so we can send it out to locations. Send any good ideas that other libraries are doing to Dana to add to the toolkit.
  • Community & School Engagement – Kellie
    • Working on the Educator toolkit and Teacher Training. Hoping to have everything up and going later this week.
    • Metro Family Magazine will have a full page ad for Summer Reading by April 27. Will try to have everything ready to go for pre-registration by that date.
    • Working with ad agency to start promoting in middle of May. TV and radio promotion. Running into challenges with tv promotions because of upcoming elections.
  • Logistics – Teresa
    • Put another work day in May. Several work days coming up for inventory and sorting out pre-packs and sunglasses.
    • Just sending bonus books to Read it Forward.
    • Believe that we have all of the Baker & Taylor and Scholastic books, but will know for sure once we complete inventory.
    • Hopes to have supply catalog updated by May 27.
    • For CSLP items, send out everything up front. If we hold back a few items for people to order, we will need to update the supply catalog.
  • Staff & Volunteer Engagement – Jessica
    • In-person Summer Reading training has wrapped up. Offered a Zoom training for those who could not attend in-person training.
    • Placing all volunteers and making plans for teen volunteer wrap up party at end of summer.
    • Added Beanstack binders for all locations and includes all information that is important for staff to know.
    • Released the Bonfire shirt that staff can order on their own. A % of purchase goes to the endowment, designed by one of the teen volunteers.
    • Video content to help engage with staff. Have staff record TikToks or short videos on opening day for Summer Reading to capture the programs and excitement of SR and release in July. Request that staff take lots of pictures of displays and programs to share throughout the summer.
    • Intranet will be updated as we receive final marketing pieces.
  • Program Engagement – Kristin, Kellie, and Emily
    • Marketing materials are slowly rolling in. Spanish translations have been sent to Rick for updating.
    • Kellie is still trying to confirm yard signs with Vista Print.
    • Kellie will be working on opportunities for staff to participate in social media content creation.
    • Kellie will create templates for people to use and share on social media.
    • All programs have been finalized with museums in time for staff to enter for summer reading. Working on getting paperwork.
    • Factory Obscura artist has offered to have pieces on display during the summer.
