Summer Reading Steering Committee Minutes - February 15, 2022

Subcommittee Reports (additional detailed reports from February subcommittee meetings are attached at the end of this post) 

  • Library (In-Library & On-Site) Engagement – Dana
    • Idea bank of decorations, passive programs, and kits.
    • Creating SharePoint of ToolKit. Should be ready by March 7th.
      • Will have instructions and supply lists.
      • Decorations and displays in a visual inspiration board.
      • Supply orders were due on Sunday. Received orders from every location. Kristin will place orders this week. Will set up a workday once everything arrives.
  • Community & School Engagement – Shalla
    • RIF recipient is Smart Start of Central Oklahoma.
      • 1,500 books to be donated.
    • Direct mailing will happen.
    • Not recommending school mailers, but will upload to school portals.
    • Waiting on decision on the Fine Waivers from the Commission.
    • Shalla is working on Community Contact spreadsheet.
    • Working on Teacher Training incentives.
  • Logistics – Teresa
    • Looking at solid blue sunglasses. Will likely be more expensive option.
    • Abby will look for other quotes.
    • Prizes will be 1 adult book, 1 pair of sunglasses, or 2 children’s books.
    • Janeal is requesting a quote from Baker and Taylor for adult and YA titles.
    • Once booksale is over, Teresa will sort and send out leftover books from last year as a base supply to libraries. Will have a workday to do this.
  • Staff & Volunteer Engagement – Jessica
    • Official training planned including video, synchronous Zoom, and in-person option. Emily is working on logistics for trainings.
    • Will update Intranet with content from trainings.
    • Volunteer Supervisor training will be done via Zoom.
    • Hoping to have ability for staff to purchase the volunteer t-shirts.
    • Additional Beanstack training will be added this year. 
  • Program Engagement – Kristin, Kellie, and Emily
    • Fine Waivers are going to the Commission this week for a decision.
    • Kellie is working on updating Beanstack.
    • Kristin is working on Marketing plan.
    • Program catalog has been created and is under review by OES. Will go out next Monday to libraries to pick their programs for next summer.
    • Kristin is working on Neighborhood Arts.
    • Have updated Activity Logs for all ages. Keeping the same number of activities as last year.
    • Settled on Community Goal of 12 million points.
    • Will do a double issue of the Info Magazine for the summer. All programs will need to be in by April 20th.
  • Other Updates
    • Money for incentives for Teacher Training will come out of 5161.
    • Swag will come out of 5161.

Questions

  • Do we want to continue the School Library Media Breakfast in the future?
    • Could we get underwriting to fund the breakfast and have it at the new Belle Isle location?
    • What about an evening or weekend open house?
    • Could partner with ReadOKC for this event.
