Library (In-Library & On-Site) Engagement – Dana

Went through brainstorming document and created a draft order form document.
-
Talked to Logistics about number of die cuts each library could order that would be done by the committee. If a library wants more, they can schedule a time to come cut them out themselves.

Talked about toolkit format.

Will create supply lists and instructions for kits so libraries can order the supplies themselves and have instructions already created.

Next meeting February 7th.
Community & School Engagement – Shalla

Waiting for answers about funding for teacher incentives. Had budgeted $1300 for teacher breakfast. Suggest moving those funds to pay for teacher incentives and virtual teacher training.

Kimberly will talk to Charisse, Larry, and John about transferring funds from refreshments to 5161.

We have plenty of funding in postage and printing. We can cover the cost of a direct mailer.

Reviewed 2021 Staff Survey results. Overall response was positive. Will make toolkit similar to previous year.

Outreach goal – talk to cabinet and other managers about meeting Outreach goal as a measurable goal for staff appraisal.

Read It Forward – include recipient information in MAC request.

Goal is to have all marketing pieces ready for a designer in February.

Logistics – Teresa

Met with Maintenance to discuss available spaces for SR supplies. Will be available after mid-February until they move stuff out for the booksale.

Kristin and Emily will look through the Scholastic catalog and select books to order.

5-10 titles for each reading level.

Scholastic books to be delivered sometime in March, sorted in April, and routed to locations in mid-April.

Start locations out with a large quantity of books.

Will order boxes closer to sorting date.

Will order sunglasses instead of tote bags this year – conversation about which design and color people preferred.

We increased the budget for adult titles this year.
-
Janeal will make recommendations for adult titles and work with Baker & Taylor to get a quote.
Staff & Volunteer Engagement – Jessica

Emily has created training plan and shared it with PSLT.

Required video training for all staff and in-person/Zoom program for new staff and Guest Experiences location.

Asked to move away from Access and Engagement managers to use Library Management Team.

Emily is creating the modules for the training.

Communications in March. Trainings in April.

Volunteer Training – Teen volunteer recruitment poster has been created.

Bidding for volunteer t-shirt. Design has been chosen.

Volunteer supervisors will begin training this week. Additional trainings in March and April.

All Staff Commuinications – reviewed past intranet pages.

We could build more intranet pages on Beanstack. Will create embedded videos.

Video content similar to last year.

Will begin updating Intranet when training is being developed in mid-February.

Theme for photos that staff can submit.

Program Engagement – Kristin, Kellie, and Emily

Putting together Marketing Plan based on SR 2019 needs.

School list is being updated by locations.

OKCMOA will offer a children’s and teen program based on Chihuly.

SMO will offer children’s, teen, and adult in-person programs. The programs for this sumer have not been developed yet.

OKCZoo will have children’s, teen, and adult in-person programs. The programs for this sumer have not been developed yet. Kristin applied for the OKCZoo Fund for Kids for each location.

Will keep one goal level of 600 points.

Activity sheets are being updated for all age groups.

Shalla is updating the list of community organizations and legislators that she and Sarah put together last year.
