Summer Reading Steering Committee Minutes - December 20, 2021

Introductions – Kristin

Subcommittee Reports (additional detailed reports from December subcomittee meetings are attached at the end of this post) 

  • Library (In-Library & On-Site) Engagement – Dana
    • Have had two meetings this month.
    • Started a brainstorming document (decorations, passive programming, displays, take-home kits)
    • Created list of items that would need to be purchased so an order form can be created.
  • Community & School Engagement – Kellie
    • Talked about priorities.
    • Will not offer in-person breakfast/teacher training.
    • Will focus efforts on online training.
    • Liaison to reach out to distracts and system level and have local libraries reach out to individual schools.
    • Is there Friends money to purchase prizes again this year (reutilize funds for breakfast).
    • Curious about in-person library visits for schools. Should be fully opened starting Feb 1.
    • Create different commercials to use for school visits.
    • Direct mailers and school mailers. What was budgeted in Marketing for this? Look into EveryDoorDirect this year.
    • Began discussion of Read it Forward
  • Logistics – Teresa
    • Books from last year will go out in May-ish.
    • Prize pickup will begin on June 1st.
    • Reduced number of titles, with more copies of each
    • More adult titles
    • We voted on when to start handing out prizes:
    • Sunglasses as goal prizes instead of bags.
    • Diecuts: will need to know how many, what colors and type of paper we need, and have a quantity limit and deadline to order items. Libraries might need to cut them themselves.
  • Staff & Volunteer Engagement – Jessica
    • Talked about 3 main components: Internal Comms, Staff Training, and Staff Volunteer Supervisor training.
    • Looking to revamp this year for in-person and virtual components.
    • Staff volunteer super trainings would be three sessions: 2 before summer and 1 in August
    • Emily and Heidi have met to talk about teen volunteer opportunities.
    • Jessica will work on internal communication pieces and planned videos.
    • Dog photo submissions were popular.
    • Email updates last year were more well received than intranet updates in previous years.
  • Program Engagement – Kristin, Kellie, and Emily
    • Kristin is scheduling Neighborhood Arts and OKC Zoo. ZooFund for Kids grant is open until Jan 15.
    • Kellie is contacting Science Museum OK. SMO does not have details of program yet but has cost and age ranges being offered.
    • Emily - OKCMOA will offer children and teen programs.  OK Contemporary Art Center – has reached out and waiting for response. Oklahoma Aquarium - has reached out and awaiting response.
