Communication Cabinet Minutes - September 04, 2020

  • Staged Reopening Communication Plan

    • No updates.  

  • Meeting Minutes Schedule – Kellie 

    • An updated meeting minute scheduled was shared.

   

New Topics 

  • Welcome new members:  Pallas and Paula

    • A represenative from Staff Association will be selected to serve on the Communications Cabinet. 

  • Communication Cabinet Charge - Larry  

    • Larry led the group in an exercise.  First, the group documented the various methods used to communicate.  After compiling that list, Larry asked the group to document how things could have improved with our communications. Everyone shared a communication situation that could have gone better.  Finally, Larry asked the group to think about what went right in our communications.  Everyone then shared a communication situation that was successful.  The goal was to recognize the ways things could improve in our communication but also recognize a lot of things go well when we communicate.    To help develop the goals of the Communication Cabinet, Larry asked everyone to complete an assignment. 

  • Assignment:    Identify the ideal situation for how to communicate/ Identify the actions we need to take to our communication to the next level/Identify the characteristics of good communication.  

    • This can be granular to specific examples.  Things to include could be:  being present, listening, checking email within a certain timeframe, to being aware of tone in email.   

    • At the next meeting, we will talk and discuss what our overall priorities are.  

    • Due Date:  end of day on Thursday, September 10th.  

    • Send to:  Larry or Kellie.  They can consolidate everyone’s feedback and synthesize the responses.  

  • Internal Communications Audit – Larry 

    • Larry provided information on tackling an Internal Communications Audit.  He mentioned that we would adapt tactics from the audit to develop a better understanding of the internal communications of our organization.  To help in this process, the Communications Cabinet has been tasked to document how we communicate internally.   

    • Assignment:  Document the different ways the Communication Cabinet regularly communicates internally.  

    • Due date:  end of day on Thursday, September 17th. 

  •  Strategic Documents 

    • Social Media Strategy & Plan – Kellie, Marcie, and Victoria 

      • Kellie provided an update on the Social Media Strategy and Plan.  No new updates.  Kellie, Marcie, and Victoria will be meeting soon and plan on sharing more information at the next Communications Cabinet meeting.  

  • Strategic Communications Plan  

    • Tabled.  

  • Content Strategy  

    • Kellie spoke briefly on the need to develop a Content Strategy Plan that would be like the Social Media Strategy and Plan.  Kellie, Marcie, and Victoria will be discussing this as part of their Social Media Strategy and Plan.
