  1. Kay handed out copies of the minutes from last meeting.  Stacy has now joined the ITR to begin the staff training for the reading program.  Kay indicated that she and John Wood (IT) started visiting with the Managers of LO to explain the reading program and discuss ways to meet our goal to "ensure participants may also register and/or track online in the library with minimal computer wait time."
  2. DVS sponsorship & volunteers
    1. Diane and Sarah provided a written report (which is on Basecamp) as well as verbal report of the sponsorship for the reading program.
    2. Half-Price Books will start us off with 15,000 discount coupon (15% off).  If we need more we can negotiate with them for more.
    3. RedPin Bowling will have an online coupon for everyone achieving a goal.
    4. Diane, Sarah, Emily, Kristin, Anita will work together to determine which of items will be given to what reading program age category.
    5. All logo graphics and information has been submitted to MaC.  We still need to get stickers.
    6. There are 3 levels of sponsorship and each one corresponds to a particular size logo
    7. We will have a sticker-a-thon where volunteers will place a sicker with the sponsor's logo on each of the books that will be given as incentives during the reading program. Heidi is planning the sticker-a-thon.  It is scheduled for the first Saturday in May, which is the 3rd this year.  Heidi explained that she is trying to figure out how many volunteers and how many shifts it will take to sticker 37,000 books (last year they stickered 15,000).  Apparently, this is a favorite volunteer opportunity for some groups so Heidi doesn't anticipate any problem getting enough volunteers.
    8. Heidi reported that IT will be making the timesheets for volunteers available on the Netbooks.
  3. MaC update
    1. Presented for consideration a combined postcard rather than a postcard for each program.  We all agreed it was a perfect approach and it ensures that the person reading the postcard is aware that everyone has a reading program this summer.
    2. We discussed how t-shirts have been designed and/or purchased as marketing pieces for the reading program.  The discussion was tabled until additional information could be obtained and considered. The MaC deadline for t-shirt design is January 30.  An update will be provided by our next meeting.
    3. ODL provides plenty of bookmarks that we get for free so we do not need to purchase any.
    4. We need to work on informing customers that they can pre-register for the reading program and that begins on May 1.
  4. OUT update
    1. Sometime in May Library Media Specialists from the area will be invited to a meeting to share the reading program.  DVS is locating funding for food at that meeting.
    2. Emily and Kristin developed instructions for the various types of registrations for the reading program. They recommended that we offer all three options so that we have individual, family type and group type signups.  They shared on Basecamp the signup instructions for each approach that may be used to develop training.
  5. Our next meeting is February 6.  We expect to have some drafts from MaC and possibly some drafts related to staff training.
