Core value discussion: Commitment to learning as enjoyment

  • PSLT shared feedback from the Public Services Manager meeting.
  • Some of the core values overlap. The team discussed the heart of each core value including customer service, quality of service, responsible stewardship, integrity, and open access.
  • The overlap in the values opened a discussion about whether or how the values might be restructured to provide clearer meaning.
  • Julie will share some notes from staff meetings and from other libraries.
  • Additional discussion occurred surrounding the relationship of learning, enjoyment, and fun in the context of library services.

Budget

  • Charisse provided an overview of the steps ahead on completing the budget.
    • The last of the budget lines will be reviewed in the appropriate group this week.
    • Leadership Team will then look at proposed total costs from all divisions and compare it to the available budget for next year.
    • The Long Range Plan will be updated once the initial budget is complete.
    • The initial budget will go to the Commission for approval.
  • Oklahoma Department of Libraries requires several pieces of information submitted each year
    • Our budget and long-range plan must be submitted to them by June 1st
    • Our final budget must be submitted when it's approved
    • The results of our annual audit are due within 3 months of the end of FY
    • Additionally, they request unique data each year. This year, they are requesting an internet speed test, which is the first time they have requested the data. IT is taking the lead on this data request. They will complete a speed test at a variety of times during a weekday and during a weekend. It has to be done from each library on 1 public computer. IT can do this remotely.
    • They also request information about our facilities each year which the Operations Division supplies.

Food and Refreshments

Heather (DVS) led a discussion on the role of DVS and the budget process in determining funding for food as part of a program and food as refreshments, both during programs and for Summer Reading volunteers. Public Services Leadership Team will work with Heather on guidelines for these areas so that we can have a consistent approach to these topics.

Department Updates

Julie – Senior Management Group

We will be contracting with an executive teambuilding coach to work with Senior Management Group. We are still researching who will be brought in for this work.

Anthony - Operations

  • Security is a little short-handed right now, so they are supplementing with G4S guards as needed.
  • Facilities projects in progress/upcoming
    • RE carpet
    • NW shades
    • WR roof needed replacing; City has decided to renovate the library
    • Preparing for the Sendak exhibit
    • Bethany tentative opening in July
    • BI renovation
  • MAC
    • Starting to receive Summer Reading requests
    • Advertising plan/schedule for Summer Reading is coming along

Anne - IT

  • Trial on the vehicle tracking software is finishing
  • Cox will be doing site walks at each location

Public Services

  • CSD - Automatically Yours is getting closer to implementation, another sample is ready for testing; working on hiring management for the Collection departments at the Service Center
  • VI - manager starts Monday, have signs announcing they're open for the other libraries
  • DN - manager starts on Monday, AM II is posted
  • BE - 2 new AS I's have been posted
  • WA - manager started last week
  • RE carpet project; new furniture and chairs will come around the same time as reopening
  • CH - 50% of his staff are fluent Spanish speakers now
  • OUT – have a Ronald McDonald House event and Myriad Gardens event coming up; Myriad Gardens is highlighting Maurice Sendak; OUT and DN staff will support their event over the 2 weeks

Milissa - L&D

  • May 1st is a new deadline for Summer Reading training; have around 50% completion so far
