Purpose: To discuss and make decisions on issues having system wide impact or effecting multiple departments.
Outcomes:
To gain an understanding of the types of messaging that marketing will be doing as soon as the feature becomes available;
To gain feedback from the group on the prospect of using a collection agency to recover materials and funds related to long overdue materials;
To discuss the future of the Library's United Way campaign;
To get a consensus on uniform dress for "Casual Days."
Ground Rules
One conversation at a time (no cross-talk or side conversations);
The meeting with start and end on time;
Each member is empowered to determine if attending the meeting meets her/his priorities;
Each member should be fully present for the meeting (and not completing other work, reading email, etc.);
Member will respect each other’s time and responsibilities.
Agenda
Message using Savannah (Kim)
Kim talked about how she thought the Library System and individual libraries should handle messaging to ensure that we were presenting a common message
Decision: Kim will talk with other libraries that use OrangeBoy to identify messaging strategies they use and will report back at the next Leadership Team meeting.
UMS collection agency proposal (Anne)
Unique does not refer to themselves as a collection agency, but helps libraries recover materials and fees owed on accounts that are 60 days past due. The group discussed the impact on our public relations. Pioneer Library System uses the service as do a number of other libraries (Houston, Charlotte, LAPL, etc.).
Decision: Anne, Kim will get more information about how libraries that have implemented the service and ask for report for fines and fees? In addition, Anne and Lloyd will analyze the financial impact of implementing the service for a future meeting.
United Way campaign (Tim)
The group discussed how the United Way campaign had been handled in the past. Tim stated he did not think that having the Development Office work on the campaign was a good idea – they are tasked with raising money for the Library through the Friends and the Endowment Trust. All agreed that the United Way is something the System would like to continue – especially as a payroll deduction option.
Decision: Tim will discuss the issue with the Staff Association – he wants to get their opinions. Additionally, Tim will talk to Staff Association about implementing a campaign to raise awareness, engagement, and funding for the Friends of the Library and the Endowment Trust.
Casual dress (Tim)
Tim discussed an idea to provide staff with two logo’d shirts (not TShirts) to be worn on Casual Fridays and Saturdays (with jeans, if desired.). The group discussed enabling staff to buy additional shirts and allowing them to wear jeans any day that they also wear the logo’d shirts.
Decision: Kim will get pricing on shirts and Tim will talk with the Staff Association about the approach. Tim and Lloyd will address the budgetary issues.
Other – Reports
Name tags: Kim gave an update on name tags. She said they would be available within the next 60 days. She will send out a link to the example (https://www.youtube.com/watch?v=bo7afhzLUf0). The details on the name tags is still being drafted, but staff will have to wear them while working (unless they have a uniform with a name included).
