Ad-Team Minutes - March 04, 2015

Expected Outcomes:

  1. The group will determine if X-Change meetings are needed and if so, what the schedule and agenda will be;
  2. Ad Team will decide what the 50th Anniversary celebrations will be;
  3. Members will know how to add items to the agenda

Presentation:

  • This year’s staff theme is Beyond You:  an encouragement to go beyond oneself and be unique.  Staff Volunteers, FOCUS! and the Staff Recognition Dinner will utilize this theme to brand staff events under the same umbrella.  An additional component of the theme is an online staff recognition program.  The goal is for staff to be able to recognize each other, including employee-to-supervisor, supervisor-to-employee, employee-to-employee, supervisor-to-supervisor, etc. The Beyond You Salute Submission Form was created in order to achieve this. It went live March 4th, and can be found on the intranet by clicking “Staff” then “Beyond You”.

 

AGENDA ITEMS

  1. X-Change Meetings: Should a meeting with all supervisors take place?

    • The group discussed past X-Change meetings, and determined that future meetings should be fun, informative, and a medium for finding ways to ensure that supervisors across the system feel engaged and inspired. Different levels of management will be present in conceptual phases of decisions. The need for a system wide approach to supervisor training was also discussed. It was decided that one supervisors’ meeting would be held in order to discuss what needs to be done to go forward with future meetings (if the supervisors feel it is necessary to even have these meetings). The date of this meeting will be determined no later than the next Ad Team meeting; meetings will last no longer than an hour and a half. All members of Ad Team supported giving X-Change meetings a new name as well.

  2. 50th Anniversary: Should we have one big reception or a reception at each library in October?

    Since October is Customer Appreciation Month, members thought it would be a great idea to have separate celebrations at each library instead of one large MLS system celebration. By doing this, it is more likely for the community to go to their local library and take part instead of venturing to one central location. Press releases would go to the community news sources in their area, in order to garner attention. All MLS Commissioners will be invited to each library reception. Elected county commissioners will also be invited to celebrate at the libraries within their represented communities. Ad Team members also saw this as an opportunity to tell community members what the benefits are of having a library within a system. In addition to the receptions, Marketing is also printing monthly MLS 50th Anniversary Collector’s Edition bookmarks. A 50th Anniversary logo has also been designed and will be seen on most printed material.

  3. Adding items to agenda: What is the new expectation?

    • Jasmine will send the Ad Team an email a week before the meeting requesting members to send her any agenda items. Once the items are compiled, the agenda will be sent to Ad Team members as well as be posted to the intranet. In order for members to be prepared for the meeting, agendas will be sent out the Monday before the meeting, around noon. The group discussed having future Ad Team meetings open to all staff members, but no final decision was made on the matter.

REPORTS

  • Todd, CON: On March 3rd, a drawing was released that plans to add 15 spaces to the Edmond library’s parking lot, as well as 12 spaces on the street.

  • Kim, MaC: Marketing won four gold, four silver, and two bronze at the Oklahoma Addy Awards.

  • LaVetta, OUT: LaVetta attended the installation of Hometown Teams at the Ralph Ellison library. The Oklahoma Historical Society made 12 banners about different Oklahoma athletes that will also travel with the exhibit. The exhibit will travel to seven or eight locations in Oklahoma.

  • Sarah (for Diane), DVS: Literary Voices is April 14th. The Facebook page is also available.

  • Denyvetta, LO: Brandon Beckham is now the Manager at Almonte.
