Engagement Recommendations & Project Proposal, Project Teams, and Next Steps

What’s the Latest with Engagement?
Over the past seven months Engagement Managers, frontline Engagement staff, Engagement and Program Services (EPS), and Planning and Assessment (PLA) have:
- created a Community Needs Assessment.
- identified six outcomes/priority areas:
- Literacy
- Educational Attainment
- Workforce Development
- Health & Wellness
- Cultural Enrichment
- Civic Engagement
- create outcome statements for each priority area.
Outcome workgroups were then formed to create a systemwide engagement framework of programs and services to achieve our six outcomes. Each workgroup:
- completed an external community resource audit.
- defined measurements of success.
- evaluated our current services and programs.
- defined engagement.
- created best practices for engagement.
- identified new and existing systemwide programs and services to help the library system achieve its outcomes.
As a final step for the workgroups, EPS and PLA created an Engagement Recommendations & Project Proposal that outlines:
- the work and methodology behind the creation of a systemwide engagement framework.
- the definition, principles, and goals of engagement.
- opportunities to add or improve existing library programs and services focused in six areas: Literacy, Educational Attainment, Workforce Development, Health and Wellness, Cultural Enrichment, and Civic Engagement.
- an implementation timeline.
What’s Next?
We are now ready for outcomes project teams to begin work!
What is a Project Team?
Whereas the purpose of the outcome workgroups was to create a systemwide engagement framework of programs and services to achieve a specific outcome, the purpose of a project team will be to develop the systemwide programs/services outlined in the Engagement Recommendations & Project Proposal report. Specifically, project teams will research and develop the following program components:
- Best Practices
- Training Needs
- Marketing Plans
- Implementation Plans
- Assessment & Evaluation
- Budget
- Resources, Kits, or other Materials
Who Will Lead Project Teams?
Project Teams will be led by Engagement Managers. EPS will be developing charters (a helpful guide) for each project team that detail the purpose, goals, scope/authority, deliverables, and anticipated time commitment.
Who Can Serve on a Project Team?
Any Engagement staff member can apply to serve on a project team. Access and Departmental staff may be included as members of a project team as needed. A member of EPS will also be serving on each project team.
How Do I Lead or Serve on a Project Team?
A brief application will open the first week of January. Interested Engagement staff members and Engagement Managers will have a week to apply. More information about the scope and time commitment for each open project will be shared at this time.
What Projects Can I Apply for in January?
Based on the current Timeline & Workplan (see page 110 of the Engagement Recommendations & Project Proposal), the following projects (see chart below) will begin the first quarter of 2019 and will have an application process that begins the first week of January. Here are things to keep in mind when reviewing the Timeline & Workplan and thinking about if you would like to serve on a project team:
- The Timeline & Workplan is subject to shift and change as we move along in the project team process. Keep this in mind as you think about project teams that you might like to serve on.
- The Timeline & Workplan is not a menu of services. It is a timeline to help guide project team development. Actual systemwide services for libraries will roll out on an ongoing basis as project teams work through the Timeline & Workplan and their charters. EPS anticipates that the first systemwide projects developed from the Engagement Recommendations & Project Proposal won’t be ready to roll out until the spring or fall of 2019.
- If you see a project noted in the Engagement Recommendations & Project Proposal that your library would like to work on locally based on community need, let EPS know so we can talk through a game plan. We recognize that your library might need to roll out a proposed program/service more quickly than what is noted on our systemwide Timeline & Workplan.
- Some project teams will be working on new programs/services, while others will be working on expanding or retooling existing programs/services and developing best practices.
- Some project teams will be larger than others and each team will differ in scope and anticipated time commitment.
- More information about project team logistics will be shared the first week of January, when applications go live. What Should I Do?
- All staff should read over the Engagement Recommendations & Project Proposal and reach out to their Engagement Manager or EPS with any questions they might have.
- Engagement Managers should start thinking about if they are interested in leading a project team for the first quarter of 2019 (projects noted above) and discuss their interest with their supervisor.
- A brief application will go live the first week of January and Engagement Managers will have a week to apply.
- Engagement staff should start thinking about if they are interested in serving on a project team for the first quarter of 2019 (projects noted above) and discuss their interest with their supervisor and Library Manager.
- A brief application will go live the first week of January and staff will have a week to apply.
- Engagement Managers and staff should look for communications about the project team application process the first week of January.
