LaVetta opened the meeting at 1:30 pm by introducing guests, Carrie Blumert from the Oklahoma County Health Department, Mental Health – Wellness Now and Sara Barry, the Business & Community Development Liaison of Mental Health for Integris Hospital.

Sara Barry shared that October 8 is National Depression Screening Day. She discussed why mental health screenings are so important and this day was created to help raise awareness for these free online screenings. These screening for depression are available on the intranet and are offer free online, available to our library customers. This is a tool used to detect depression and will alert someone if the participant is in need of assistance and is available in English and Spanish.

LaVetta stated this could be a good service to customers and the library is a safe place for screenings, Integris and City/County Health Department will provide professionals to assist customers who may need assistance completing the online screening form on Oct 8 from 1-9pm at 5 library locations. Outreach will coordinate to provide professionals for these locations and libraries will provide them with a table where they can give information to customers on that day and offer a QPR training program to the public, which teaches individuals how to detect and refer individuals who may be suicidal, to mental health professionals.

Summer Reading

Executive Director, Tim Rogers has cleared it for all staff to wear jeans during the Summer Reading season, as long as you’re wearing your “I Read for 20” buttons.

Stacy stated the required learning for Summer Reading is posted in U-Metro. There is a video to watch, training scenarios and a required 20 question assessment. Stacy asked that employees go through the training scenarios at their own pace before taking the assessment.  You cannot take it more than 3 times and have at least 80% accurate answers. The different scenarios are located on the Intranet - Summer Reading page. We want all employees to get involved in Summer Reading.

LaVetta stated that library staff will be in charge of promoting the drawings each week. This year’s Adult incentives are a book of post-it notes and a portable battery charger.

There will be 2 goals; Goal 1 and Goal 2, and for everyone who read beyond goal 2, 30 more 20 minute sessions, a book will be donated in their honor to the Ronald McDonald House. This options applies to all ages, remember participants do not have to log every time they read, but whenever they are able to get online, they can log the number of sessions since they last logged on. Participants may receive two incentives at once, if the software shows them as eligible.

Supply Orders

Each library will choose one designated person to order from the Outreach supply catalog. This year, ordering books will be categorized by age group instead of title. A note feature will pop up as you place items into your cart. This allows the person ordering to add a note to their order.

LaVetta stated that the Outreach Supply Catalog will be released in two phases. Phase one will include supplies that are needed for Summer Reading (ODL supplies, etc) and items helpful in the summer, such as Smart Start tip sheets, display materials, and dye cuts. Phase Two will be supplies used year ‘round, such as books for giveaways, and items given during events throughout the year, such as, general bookmarks and items on loan from Outreach, such as, table cloths, Spoticus (small or large), other costumes, board games, etc.

LaVetta added that bottled water will now be ordered through the Maintenance Department. Outreach Aide will fill orders from the dye cut selections, at the library service center. Ordering will work same as the other ordering catalogs in our system. The person ordering will need to have orders in by 1:30pm on Tuesday. Kristin stated that mail outs for schools will be sent the first week of May. She requested that no one over order or stock pile on items when ordering.

Kristin is working on displays at this time. Once each library make their display requests they will be sent out with everything you need and how to put it all together.

Photos / Consent Form

For customers who want their photo taken and don’t have their own phone/camera, each library will use their iPads to take customer photos. Each photo will automatically be placed in our MLS Flickr account, therefore a consent form must be signed. A photo must be taken with a completed consent form. Only the Legal guardian can sign the consent form. If you cannot get consent, do not take the customer’s picture. Families will not have access to the MLS Flickr account. If the customer wants their photo, employees will need to email it to themselves and then to the customer at the staff member’s discretion. Remember to use the hashtag “Ireadfor20”.

Weekly Drawings

There will be weekly drawings during Summer Reading, some in library and some automated. There will be a drawing on the first day for those who pre-registered. The first week drawings will take place on June 8, and will be manual drawings in each library, for early childhood customers who get a library card. They should receive a ticket at the Circulation Desk to be placed in the drawing which will be rewarded that week. They will be encouraged to turn their ticket in at the ‘Celebration Station’.

Automated drawings will take place biweekly.  Each week there will be in library promotions and each week will focus on a new objective and/or goal.  To help with attendance at Neighborhood Arts programs during the 4th of July week, a drawing will be given at each location for those who attend one of those events.   Fast food chain Raising Canes has offered their services for promotion and will give free chicken fingers (coupons) and lemonade to some library locations.

On the Summer Reading page, there is a link to Weekly Drawings and in the text where it says “click here,” staff can see the weekly drawing chart for each week.

Kristin passed around a few Gnomes which were super “hero”fied.  Mary Sholly created masks, capes and more to help detail each of the gnomes.

There will be 152 drawings at the end of summer (19 locations x 2 prizes for each of the 4 programs).  Flyers will be sent to the schools at the beginning of May.

Kim Terry - Marketing

Kim showed the backdrop for picture taking for Summer Reading. It is a 6ft x 8ft fabric picture of a city at night with a MLS spotlight in the sky above. Kim also ordered 19 face cut outs of MLS super heroes for each library.  Please be aware that certain supplies will only be offered through our Marketing Department.

At the sign up table (Celebration Station), there will be props, displays and other fun things. Each Library will choose their own ‘Celebration Station’ look.

All staff should encouraged everyone to hashtag “IReadfor20” when posting a picture that relates to Summer Reading on social media.

Customers can start pre-registering for Summer Reading on May 15th.

Sharing

Susie Beasley (CT), Every Tuesday night there will be a round table discussion at the Choctaw Library. In July, Science Museum Heroes / Mythology and Heroes in your family tree. Choctaw Library will also host a six week series program focusing on healthier choices, beginning Thursday, July 2nd – 31st.

Vanessa Davis (DN), There will be a job workshop the first 3 Tuesdays in May. It will be in 3 parts for recent graduates looking for their first job or homeless adults reentering the job force. They will also assist in building resumes and interviewing skills.

Edie Daniel (BE), Tai Chi classes are currently being offered and may be offered in July as well. They will have a class on making mustache lotion bars for fathers on Father’s Day. Edie recently noticed that not all programs are featured in the info magazine.

Jill (ED) – There will be an author visit and a water color class in May. Starting in May through December there will be computer class every Wednesday afternoon. The class is on “Intro to Social Media” and basic website developing.

Jarod (MC) – In May the Midwest City library will be showing a series of “Real Life Hero” movies and their also having a mini comic-con in July.

Darrie (SO), stated the gardening program went well. The book club continues to go very well. Community Literacy video is posted on their website. A customer learned to read and received their G.E.D, all by attending the Community Literacy programs. This summer the Southern Oaks library will be hosting classes on essential oils, Zumba, yoga and art.

Kelly (WA), Warr Acres will soon have Native American genealogy classes, gadgets & gizmos class, and a class on extreme animal this summer.

Heidi Port – Development

Heidi spoke about goals for Summer Reading volunteers. She stated that the work shouldn’t only fall on the volunteers. It’s like the library staff are preparing our volunteers for their first job. She stated that we should want to instill great things in the young volunteer. Demonstrate positivity and encourage them. She stated different libraries will have different expectations. Each volunteer will be required to watch an online video about 2 minutes 17 seconds long and then there in be in person training. They will not have to take an assessment.

Heidi made aware a valuable reason to encourage our young volunteers, because “we’re possibly training the next generation of parents to read to their children.”
